Accounts Payable Assistant
About the RoleWe are seeking a highly organized and detail-oriented Accounts Payable Assistant to join our team at MindMatch Consulting. As an Accounts Payable Assistant, you will play a crucial role in supporting the Accounts Payable team in meeting departmental targets and objectives.
Key Responsibilities- Process all overhead invoices via APA (No PO, No pay policy) ensuring accuracy and timeliness.
- Check and process Personal Expense claims in line with company policy, verifying compliance and adhering to deadlines.
- Manage the AP email inbox, redirecting queries and escalating potential issues to relevant managers for timely resolution.
- Cover team members in times of absence, providing seamless support and continuity.
- Assist with supplier queries via phone-calls or emails, resolving inquiries efficiently.
- Complete supplier statement reconciliations, identifying discrepancies and taking corrective action.
- Prompt registration of invoices to meet deadlines.
- Email boxes up to date, with all emails accounted for, ensuring no missed communications.
- Meeting of deadlines, prioritizing tasks effectively to ensure on-time delivery.
- Escalation of issues prior to them becoming urgent, maintaining proactive problem-solving skills.
- External and internal customer satisfaction, providing exceptional service and support.
- Statement reconciliations completed accurately and efficiently.
- Excellent communication skills, working collaboratively with colleagues and stakeholders.
- +2 years' experience of working in an AP department, preferably in a retail environment.
- Knowledge of Personal Expenses processes, VAT accounting, and policies.
- Good knowledge of Microsoft Office, utilizing tools efficiently.
- Understanding of purchase-to-pay process for stock and overhead supplies.
- Team player, willing to assist others whenever possible, demonstrating flexibility and adaptability.
£25,000 - £30,000 per annum, depending on experience.
