We are seeking a highly motivated and organized Sales Assistant to join our team at TOTALCARE PEOPLE® SOLUTIONS. As a Sales Assistant, you will play a vital role in supporting our Sales department's daily activities and ensuring the smooth operation of our sales processes.
Key Responsibilities:- Provide administrative support to Sales Consultants, including data entry, filing, and record-keeping.
- Assist with quotes and administration for National Contracts, ensuring timely and accurate processing.
- Establish and maintain effective working relationships with all support departments, including Sales, Marketing, and Customer Service.
- Take ownership of escalated queries, ensuring resolution and follow-up with clients.
- Work closely with staff members to identify and resolve client queries, providing excellent customer service.
- Coordinate and book all meetings, clients, and management and one-to-one sessions with individual staff.
- Take minutes at meetings as required and ensure that agendas and minutes are distributed timeously.
- Ensure that meetings are coordinated via email and phone, and that accurate minutes of meetings are recorded.
- Typing correspondence as required and maintaining the department's filing systems.
- Ensure all outgoing documentation is distributed and screen all documentation/correspondence for the department, prioritizing it and obtaining required information from all departments.
- Answer and screen all calls to the department, providing excellent customer service.
- Control of purchase orders, quotes, and Sales orders.
- Telephonic assistance with any problems/complaints that reach the Sales department.
- Screen and receive any visitors to the department, ensuring clients are comfortable and refreshed.
- Carry out any ad-hoc functions required by the Head of Department.
- Grade 12 - Maths and Accounting.
- Post-school qualification - added advantage.
- PSIRA Grade B qualification.
- At least 3-5 years' experience as an Assistant reporting to Senior Management.
- Ability to work extended hours as and when required.
- Clear criminal record and no pending cases.
- Advanced Excel, MS Word, and PowerPoint proficiency.
- Above-average verbal and written communication skills.
- Ability to handle work-related stress and work effectively under pressure.
- Ability to work independently and meet strict deadlines.
- Highly motivated and enthusiastic.
- Work well in a team and drive individual assignments/projects.
- The ability to multi-task will be key for this role.
