We are looking for a highly skilled and detail-oriented Operational Assistant to join our team based at the client in Sea Point.

About Our Ideal Candidate

We require an individual with excellent communication and organizational skills, who can provide administrative support to consultants and manage tour-related tasks with ease.

Key Responsibilities
  • Administrative Support: Provide administrative support to consultants, including responding to emails and phone calls, and maintaining accurate records.
  • Tour Coordination: Coordinate tour-related tasks, including booking guides and vehicles, and managing tour itineraries.
  • Financial Management: Manage and track invoices related to tour services, ensuring accuracy and timeliness.
  • Supply Chain Management: Liaise with suppliers to resolve any issues or discrepancies related to tour services, ensuring timely resolution and minimal disruption to tour operations.
  • Project Coordination: Assist with coordinating projects and tasks assigned by Management, ensuring timely completion and quality standards.
Requirements
  • A relevant qualification in Travel, Tourism, Hospitality, or Business Administration is preferred.
  • 1-2 years of experience in Group Tour Administration or a related field is required.
  • Familiarity with the Travel and Tourism Industry, particularly in Southern Africa, is advantageous.
  • Proficiency in Microsoft Office Suite (Excel, Outlook) is essential.
  • A basic understanding of invoicing, VAT compliance, and financial processes in a tour context is necessary.
  • Strong analytical and problem-solving skills are required.
  • The ability to work independently and as part of a team in a fast-paced environment is crucial.
  • A high level of professionalism and reliability is expected.
  • Flexibility to adapt to changing priorities and team needs is necessary.
  • Knowledge of local and regional tourism offerings and suppliers is a bonus.
  • A willingness to assist with ad hoc projects or additional tasks as directed by Management is required.
