About this role

You'll be responsible for providing exceptional support for Bvnk Ltd executives, sales, and commercial teams traveling for meetings, conferences, training, or client-related activities. Your primary goal will be to ensure business travel is organized, efficient, cost-effective, and aligned with company policies.

This is an exciting opportunity to grow within the Finance team as the business scales, reporting directly to the Senior Finance Manager at Bvnk Ltd.

Key Responsibilities:
  • Travel Planning and Booking:
    • Arrange transportation: Book flights, trains, and ground transportation based on traveler preferences and company policies.
    • Accommodation reservations: Secure hotel rooms that meet the traveler's needs and budget, often negotiating corporate rates.
    • Visa and documentation assistance: Guide travelers through visa applications, passport renewals, and other necessary travel documents.
    • Itinerary creation: Develop detailed travel itineraries that include flight details, hotel confirmations, meeting schedules, and other relevant information.
  • Travel Support and Assistance:
    • Problem-solving: Resolve travel-related problems such as flight cancellations, lost luggage, or medical emergencies.
    • Travel policy guidance: Educate employees on company travel policies and ensure compliance.
  • Expense Management:
    • Expense tracking: Assist travelers with expense reporting and ensure compliance with company policies.
    • Reimbursement processing: Ensure timely reimbursement of travel expenses for the commercial team.
    • Cost optimization: Identify opportunities to reduce travel costs, such as negotiating discounts with vendors or suggesting alternative travel arrangements.
    • Relationship building: Maintain strong relationships with airlines, hotels, and other travel providers.
    • Negotiating contracts: Secure favorable rates and terms for corporate travel.
    • Performance monitoring: Evaluate vendor performance to ensure quality service and cost-effectiveness.
  • Travel Policy Development and Implementation:
    • Policy creation development: Develop and update company travel policies that align with business needs and industry best practices.
    • Policy communication: Communicate travel policies to employees and provide training on compliance.
    • Policy enforcement: Monitor adherence to travel policies and address any violations.
  • Technology and Tools:
    • Travel technology: Utilize travel management software and online booking tools to streamline travel processes.
    • Data analysis: Analyze travel data to identify trends and optimize spending.
  • Finance requests assistance:
    • Daily balance verification.
    • Pleo administration (spend policy enforcement, receipt collection, limit/change tracking).
