Job Description

The Operational Coordinator plays a vital role in providing operational support to the facility management team. This position is responsible for assisting the manager and departmental supervisors with stock control processes, including stock take, issuing of stock & receiving deliveries. The Operational Coordinator will also execute general operational tasks, such as arranging appointments, performing equipment checks & assisting with queries from residents, staff and families.

Key Responsibilities
  • Inventory Control
    • Execute stock control processes together with departmental supervisors, including food, cutlery & crockery, linen, medical stock, etc.
    • Distribute order forms and complete stock orders.
    • Conduct stock takes and issue stock as needed.
    • Prepare stock orders and receive stock deliveries.
    • Check the content of the care center day- and night- cupboard against the record of stock used, replace and note charges for used stock.
    • Conduct stock take on the emergency cupboard and replenish as needed.
    • Assist with ordering and issuing uniforms.
    • Issue incontinence wear and toiletries.
  • Operational Assistance
    • Give and retrieve keys to/from supervisors, as authorized by management.
    • Check and report gas tank and generator diesel levels with the Food and Beverage supervisor and oxygen tank levels with a Nurse.
    • Inform maintenance team of actionable tasks, monitor project progress and provide feedback to manager on both scheduled and adhoc tasks.
    • Conduct checks on the working order of emergency equipment and arrange service of equipment.
    • Arrange and follow up with service providers regarding service delivery.
    • Perform operational checks as delegated by the FM.
    • Check that maintenance, housekeeping and food&bev documents are completed accurately.
    • Assist with housekeeping delegation.
    • Assist manager with routine and adhoc operational tasks, as delegated (e.g. preparing rooms for new residents).
    • Perform spot checks.
    • Assist to enforce uniform compliance (e.g. general presentation and wearing of name badges)
    • Check that vehicle log books are updated accurately.
    • Attend to and report queries from residents, staff and families.
  • Professional Engagement
    • Interact with all stakeholders (co-workers, managers, residents, resident families/visitors) in a helpful, professional, respectful, friendly manner.
    • Constructively participate in training & similar activities as required.
    • Act as a responsible, reliable team member (e.g. willing to assist, responds constructively to corrections, reports deviations from standards).
    • Execute instructions in a respectful, prompt, efficient, compliant manner.
    Requirements
    • 3 or more years' experience in the hospitality industry or food and Beverage/Catering industry.
    • Healthcare experience is beneficial.
    • Post graduate diploma/degree is required (Commerce or Hospitality field).
