Administrative Coordinator

MAIN OBJECTIVE OF THE ROLE
To support patients throughout the admission and discharge processes with professionalism, while mitigating operational and financial risks to the organization and enhancing client satisfaction.
KEY DUTIES AND RESPONSIBILITIES
1. Ensure that all admissions (including pre-admissions/bookings) are accurately recorded and processed according to established protocols.
2. Identify and mitigate financial risks by strictly following organizational policies and procedures.
3. Facilitate a smooth discharge process in accordance with the Patient Administration Manual.
4. Uphold patient confidentiality at all times.
EDUCATIONAL REQUIREMENTS
ESSENTIAL EDUCATION: Completion of Grade 12 or equivalent.
DESIRED EDUCATION: Not applicable.
EXPERIENCE REQUIREMENTS
ESSENTIAL MINIMUM EXPERIENCE: None required.
DESIRED EXPERIENCE: Experience in reception administration; familiarity with private healthcare settings.
REQUIRED SKILLS AND KNOWLEDGE
- Proficiency in the Debtpack Enquiry application for checking outstanding amounts for flagged patients.
- Understanding of admission, bed management, preparation for the following day, and discharge processes.
- Knowledge of anatomy and relevant terminology.
- Familiarity with hospital switchboard systems.
- Awareness of patient administration policies and procedures (e.g., confidentiality, cash handling, blacklisted patients, bed overrides).
- Experience with patient administration software on the AS400 system.
- Competence in Microsoft Office applications.
- Knowledge of ICD and CPT coding.
- Understanding of medical aid schemes and the private healthcare landscape.
- Familiarity with Workmen's Compensation Act processes, procedures, and policies.
- Knowledge of emergency and major incident protocols (e.g., fire, floods, robbery).
- Ability to identify potential financial risks (e.g., handling of patient valuables, blacklisted patients).
