  • Job Summary
  • The Procurement Specialist will be responsible for purchasing materials, supplies, and equipment for Unique Personnel Ltd, negotiating the best possible prices with suppliers.
  • Key Responsibilities

    • Sourcing and procurement of maintenance, repair, operational, and ad-hoc requirements
    • Identifying the organization's purchasing needs
    • Researching, selecting, and purchasing quality products, materials, or equipment
    • Monitoring current stock levels to decide if more should be ordered
    • Liaising with internal stakeholders to ensure timeous procurement and delivery of raw materials, cement, burner fuel, steel, mesh, materials, and equipment
    • Capturing purchase requisitions and creating purchase orders
    • Requesting order confirmations for all orders placed
    • Following up with suppliers to ensure that orders are processed and delivered on time and in full
    • Arranging documentation for any COD purchases and submitting it to the accounts department for payment
    • Ensuring suppliers have stock and ensuring purchase orders are placed in advance
    • Monitoring potential stock outs caused by delivery delays, strikes, material shortages, etc. and taking necessary action to ensure availability of materials
    • Resolving any queries or discrepancies on invoices, deliveries, or price differences
    • Monitoring all returns to suppliers and coordinating with the accounts department
    • Understanding the target market and analyzing trends to make informed buying decisions
    • Implementing cost and budgetary controls
    • Maintaining effective relationships with internal and external stakeholders
    • Evaluating service delivery of all suppliers and goods delivery and making recommendations to improve processes for the buying process
    • Managing all communication and negotiating with suppliers on the best price and other purchasing variables
    • Ensuring a professional and consistent approach is taken in relation to all supplier relationships
    • Conducting research for new components and suppliers
    • Contacting suppliers to resolve price, quality, delivery, or invoice issues
    • Negotiating early settlement discounts with suppliers
    • Introducing BBB-EE Vendors
    • Opening of 30-day accounts with suppliers
    • Ensuring sufficient credit limits with suppliers
    • Keeping track of what is available in inventory
    • Ensuring full traceability of all stored materials/items
    • Verifying that all deliveries correspond to the ESA purchase order number issued to the supplier
    • Day-to-day organization of goods received
    • Collecting goods from suppliers and delivering documents to customers
    • Accurate processing of delivery notes
    • Accurate and up-to-date processing of purchase orders
    • Accurate and neat filing and archiving

  • Requirements

    • 2 years of experience in procurement
    • 2 years of experience dealing with suppliers
    • 2 years of experience in administrative tasks
    • Grade 12 certificate
    • Valid RSA driver's license with own vehicle
    • Computer literacy in MS Office (Word, Excel, and Outlook)
    • Experience working on Sage Pastel Accounting or Sage Evolution
    • General mechanical, engineering, and electrical knowledge
    • Fluent in English (Speak, Read, and Write) and basic understanding of Afrikaans
    • Excellent communication and negotiating skills
    • Attention to detail
