Purpose of the Job:

The Procurement Specialist is responsible for purchasing materials, supplies, or equipment for Unique Personnel Ltd and negotiating the best possible price with suppliers.

Key Responsibilities:
  1. Sourcing and Procurement: Sourcing and procurement of maintenance, repair, operational, and ad-hoc requirements.
  2. Purchasing Needs Identification: Identifying the organization's purchasing needs.
  3. Product Research and Selection: Researching, selecting, and purchasing quality products, materials, or equipment.
  4. Inventory Management: Monitoring current stock levels to decide if more should be ordered.
  5. Internal Liaison: Liaising with internal stakeholders to ensure timeous procurement and delivery of raw materials, cement, burner fuel, steel, mesh, materials, and equipment.
  6. Purchase Order Management: Capturing purchase requisitions and creating purchase orders.
  7. Supplier Communication: Requesting order confirmations for all orders placed and following up with suppliers to ensure that orders are processed and delivered on time and in full.
  8. Documentation and Payment: Arranging documentation for any COD purchases and submitting it to the accounts department for payment.
  9. Stock Management: Ensuring suppliers have stock and ensuring purchase orders are placed in advance.
  10. Stock Out Prevention: Monitoring potential stock out caused by delivery delays, strikes, material shortages, etc., and taking necessary action to ensure availability of materials.
  11. Invoice and Delivery Discrepancies: Resolving any queries or discrepancies on invoices, deliveries, or price differences.
  12. Return to Suppliers: Monitoring all return to suppliers and coordinating with the accounts department.
  13. Market Analysis and Informed Buying Decisions: Understanding the target market and analyzing trends to make informed buying decisions.
  14. Cost and Budgetary Controls: Implementing cost and budgetary controls.
  15. Stakeholder Management: Maintaining effective relationships with internal and external stakeholders.
  16. Supplier Evaluation and Improvement: Evaluating service delivery of all suppliers and goods delivery and making recommendations to improve processes for the buying process.
  17. Communication and Negotiation: Managing all communication and negotiating with suppliers on the best price and other purchasing variables.
  18. Professional Approach: Ensuring that a professional and consistent approach is taken in relation to all supplier relationships.
  19. Research and Development: Conducting research for new components and suppliers.
  20. Price, Quality, Delivery, and Invoice Issues: Contacting suppliers to resolve price, quality, delivery, or invoice issues.
  21. Early Settlement Discount: Negotiating early settlement discount with suppliers.
  22. BBB-EE Vendors and 30-Day Accounts: Introducing BBB-EE Vendors and opening of 30-day accounts with suppliers.
  23. Credit Limits: Ensuring sufficient credit limits with suppliers.
  24. Inventory Tracking: Keeping track of what is available in inventory.
  25. Traceability: Ensuring full traceability of all stored materials/items.
  26. Delivery Verification: Verifying that all deliveries correspond to the ESA purchase order number issued to the supplier.
  27. Goods Received: Day-to-day organization of a goods received.
  28. Delivery Notes and Purchase Orders: Accurate processing of delivery notes and accurate and up-to-date processing of purchase orders.
  29. Filing and Archiving: Accurate and neat filing and archiving.
  30. Meetings and Collaboration: Participating actively and constructively in meetings.

Requirements:

  1. 2 years of experience in procurement.
  2. 2 years of dealing with suppliers.
  3. 2 years of experience in administrative tasks.
  4. Grade 12 Certificate.
  5. Valid RSA driver's license with own vehicle.
  6. Computer literate in MS Office (Word, Excel, and Outlook).
  7. Experience working on Sage Pastel Accounting or Sage Evolution.
  8. General mechanical, engineering, and electrical knowledge.
  9. Fluent in English (Speak, Read, and Write) and basic understanding of Afrikaans.
  10. Excellent communication and negotiating skills.
  11. Attention to detail.

Working Hours: Monday to Friday (07h30 - 16h30)
