Job Title: Administrative Support Specialist

Job Description:

  • Provide exceptional organizational support to the Demand Planning team by leveraging keen attention to detail and ability to meet tight deadlines.
Key Responsibilities:
  1. Manage order placement with foreign suppliers via relevant systems, online portals, and email.
  2. Perform invoice reconciliation and purchase order maintenance.
  3. Track shipments and communicate arrival dates to the team.
  4. Compile and send internal reports to stakeholders.
  5. Oversee retail administration for Chanel and NARS Boutiques.
  6. Analyze sell-through data using necessary systems.
  7. Support Demand Planners with ad-hoc duties and projects as required.
  8. Foster effective working relationships with internal and external stakeholders to achieve business objectives.
  9. Collaborate with other departments to ensure smooth day-to-day operations through regular communication.
People Management:
  1. Develop personal skills through a Personal Development Plan (PDP), requesting training and feedback on performance, and striving for improvement.
  2. Achieve company values.
  3. Take responsibility for departmental issues and work collaboratively with team members.
  4. Maintain open communication with line managers, suggesting improvements in departmental efficiencies.
Minimum Requirements:
  • Microsoft Office, including Excel (basic formulas) and Word.
  • Bachelor's Degree in Statistics, Math, Supply Chain, or Business-related field; or equivalent experience.
  • At least 2 years' experience in Supply Chain (or related degree without experience).
  • Knowledge of supply chain software is advantageous.
  • Store Keeping/Procurement experience.
