Job Description:

About the Role

We are seeking a highly organized and diligent Financial Transaction Specialist to manage our company's financial transactions with suppliers and clients. This role is crucial in ensuring timely payments, accurate invoicing, and effective reconciliation of accounts while maintaining compliance with financial policies.

Key Responsibilities

Creditors Management:

  • Process supplier invoices accurately and ensure proper authorization.
  • Reconcile supplier statements to ensure all payments are accounted for and processed.
  • Prepare and submit payment batches for approval.
  • Address supplier queries and resolve discrepancies promptly.
  • Maintain updated records of all supplier transactions.

Debtors Management:

  • Generate and distribute invoices to clients on time.
  • Monitor and follow up on outstanding client payments.
  • Reconcile customer accounts and resolve discrepancies.
  • Prepare statements for clients and ensure accurate record-keeping.
  • Liaise with clients regarding billing queries and overdue accounts.
  • Maintain an organized filing system for invoices, statements, and receipts.
  • Assist in monthly, quarterly, and annual financial reporting.
  • Support the Finance Manager with ad hoc tasks and projects as needed.
  • Ensure compliance with company policies and financial regulations.

Qualifications and Skills

Education:

  • Diploma or certificate in Accounting, Finance, or a related field.

Experience:

  • Proven experience as a Financial Transaction Specialist or in a similar financial role.
  • Previous experience in the security or service industry is an advantage.

Technical Skills:

  • Proficiency in accounting software (e.g., Sage, QuickBooks, or Pastel).
  • Advanced knowledge of MS Excel and other MS Office applications.

Soft Skills:

  • Strong attention to detail and organizational skills.
  • Effective communication and problem-solving abilities.
  • Ability to work under pressure and meet strict deadlines.

Key Requirements

  • Valid driver's license (if required for banking or client visits).
  • Clear criminal record for handling sensitive financial information.
