Responsibilities

  3. Ensure the reception area is clean and organized.
  4. Order and manage office supplies.
  5. Provide administrative support to directors and staff as needed.

  7. Control office security by managing access at the reception and main gate.
  8. Coordinate and manage incoming and outgoing courier deliveries.
Accounting Tasks
  1. Prepare and process quotes, invoices, and supplier invoices accurately.
  2. Assist with basic accounting tasks, including invoicing, payments, and reconciliations.
  3. Maintain accurate account records and update data on Quickbooks.
  4. Process card payments using the point-of-sale system securely.
  5. Support data entry and generate account reports effectively.
Courier Services
  1. Coordinate and arrange courier deliveries and collections with clients and stock controller.
  2. Prepare delivery or collection notes for items leaving the factory.
  3. Track shipments with courier services and ensure timely delivery.
  4. Maintain records of shipments and communicate with courier service providers.
  5. Resolve any delivery-related issues promptly and efficiently.
Requirements
  1. Proven experience in a similar receptionist/administrative role.
  2. Basic knowledge of accounting principles and financial administration.
  3. Proficiency in MS Office (Word, Excel, Outlook) and accounting software (Quickbooks).
  4. Excellent organizational and multitasking abilities.
  5. Strong verbal and written communication skills.
  6. Professional attitude and appearance.
  7. Ability to work independently and as part of a team.
