Front Desk Administrator

West Coast Personnel is seeking an experienced Front Desk Administrator to oversee front desk operations, switchboard duties, and travel arrangements. The ideal candidate has a strong background in reception and travel coordination, excellent communication skills, and the ability to thrive in a fast-paced environment.
Key ResponsibilitiesReception Duties:
- Greet and assist visitors professionally, providing exceptional customer service.
- Answer, screen, and forward calls efficiently, ensuring seamless communication with clients and colleagues.
- Maintain a clean and welcoming reception area, reflecting positively on West Coast Personnel.
Travel Coordination:
- Arrange domestic and international travel for employees, considering schedules, budgets, and company policies.
- Coordinate flights, accommodation, and transportation, ensuring smooth travel experiences.
- Verify that all travel plans align with company requirements and guidelines.
Switchboard Operations:
- Operate a multi-line switchboard, directing calls to the relevant personnel.
- Handle inquiries and provide essential information to clients and colleagues.
Administrative Support:
- Manage office supplies and maintain the reception area, ensuring it remains organized and tidy.
- Organize couriers and deliveries, liaising with building managers as needed.
- Coordinate maintenance and repairs, resolving issues promptly.
- Assist the depot manager with quotations, purchases, and other administrative tasks.
- Update certifications for truck drivers, including medical and dangerous goods certificates.
- Process delivery notes and track director-requested items, ensuring timely follow-ups and approvals.
- Arrange pharmacy orders and stationery requests for directors.
- Perform additional administrative tasks as required by management.
Requirements:
- Minimum of 5 years experience as a receptionist, preferably in a similar industry.
- Strong background in travel coordination and bookings.
- Proficiency in switchboard operations and MS Office.
- Fluent in English (reading, writing, and speaking) and Afrikaans preferred.
- Valid driver's license and own transport are advantageous.
- Professional appearance and flexible work approach.
- Matric Certificate is mandatory.
