Job Overview:

The primary focus of this role is to ensure the smooth operation of our company, with research and executive support as key secondary responsibilities. The CEO has an extensive network of 60,000 contacts, and the Strategic Operations Specialist will be responsible for evaluating and vetting these individuals using online sources.

The goal is to compile a consolidated list of high-net-worth families that align with our mission and should be prioritized for outreach. Beyond research and operational management, this position will also handle critical tasks such as calendar management, stakeholder communications, and project oversight.

Key Responsibilities:

  • Conduct thorough research on individuals from the CEO's 60,000-person network to assess their fit for our exclusive membership.
  • Vet and compile a prioritized list of high-net-worth families for CEO engagement.
  • Utilize HubSpot to track and manage the full lifecycle of outreach and engagement.
  • Identify and synthesize key insights from research to inform strategic decision-making.
  • Provide executive support including managing calendars, scheduling meetings, and coordinating travel.
  • Prepare documents, presentations, and reports for the CEO and senior stakeholders.
  • Handle administrative tasks with efficiency, accuracy, and confidentiality.
  • Communicate professionally on behalf of the CEO both internally and externally.
  • Serve as a key liaison between the CEO and various stakeholders, ensuring smooth communication and follow-through on initiatives.

Qualifications & Skills:

  • 3 years proven experience as an Executive Assistant or Chief of Staff.
  • HubSpot Expertise: Must have in-depth end-to-end knowledge of HubSpot. This is critical for managing the full client lifecycle and ensuring success in this role.
  • Extensive research experience with the ability to analyze and assess individuals' fit for our client.
  • Strong business acumen and ability to manage the full lifecycle of outreach and engagement.
  • Excellent proficiency in English, both written and spoken.
  • Strong critical thinking and organizational skills with the ability to manage multiple priorities.
  • Ability to work independently and proactively in a fast-paced environment.
  • Experience receiving direct feedback and collaborating closely with a CEO.
  • Understanding of the luxury market or a fast-learning ability in this space.
  • Spanish language skills are a plus.
