Job Description:

The primary objective of this position is to provide administrative, financial, and database support to the CHOC KWAZULU NATAL office. This role will be responsible for maintaining an effective and well-organized branch office.

Main Responsibilities:

  • Administrative Duties:
  • Provide office administration services, including data entry and record-keeping.
  • Maintain accurate databases and documentation.
  • Manage incoming emails, distributing tasks and ensuring timely responses.
  • Take minutes during staff meetings, submit drafts for approval, and disseminate approved minutes.
  • Update and maintain staff registers.
  • Capture CRM data accurately on Salesforce.
  • Perform daily financial work, including loading onto Fraxion.
  • Receive cash donations, issue receipts, and coordinate with the Regional Development Coordinator for thank-you letters.
  • Process sales revenue, issue receipts, and secure revenue safely.
  • Maintain petty cash books and arrange for necessary bank deposits.
  • Prepare payment requisitions and upload them to Fraxion with supporting documents.
  • Upload new supplier documents to Fraxion.
  • Distribute and record Transport and Bereavement Funds accurately.
  • Prepare a cashbook and cash flow report fortnightly for review and submission.
  • Count tin monies and manage jumble sales.
  • Collate bi-monthly cashbooks and petty cash reports for the Pietermaritzburg Office.

Support Programs, Marketing, and Awareness Events:

  • Assist with CHOC's support programs.
  • Promote national campaigns at the regional level by implementing campaign plans.
  • Participate in public relations activities to promote events or campaigns.
  • Support fundraising and awareness events.
  • Identify potential donors and stakeholders.
  • Contribute to Salesforce and Fraxion input.
  • Order and distribute branding materials.
