Job Description

As a Conveyancing Secretary with Job Masters, you will be responsible for coordinating the entire transfer process from start to finish. This includes preparing and sending emails, printing documents, and ensuring that all parties are informed of important deadlines.

Your primary focus will be on streamlining work and co-ordinating the transfer process without any delays. You will need to tailor initial letters to each transaction, double-check them before sending, and incorporate new FICA requirements into the letters.

You will also be responsible for communicating changes to all relevant parties as soon as possible, preparing and sending emails to seller and purchaser, including POPI and FICA forms, and arranging appointments with sellers and purchasers when necessary.

Lodgement and Registration

Once you have confirmed lodgement with SIMULS, you will notify the conveyancer in advance when to take the file to JHB or PTA for registration. You will then update lexis, prep the tracker to check the status of the file, and arrange for payments and provide statements of account to the seller, purchaser, and estate agent.

Delivery of Title Deeds

You will request Johannesburg Office via WhatsApp to collect title deeds at the Johannesburg Deeds Office. You will prepare envelopes for the new owners if it's a cash purchase, arrange for title deed collection, and print delivery letters for bond attorneys if necessary.

Lexis and Litigation

You will attend to all milestones in real-time, add comments as needed, and oversee writ, taxation, and taxation allocation. A working knowledge of the litigation process is essential, including understanding time limitations and being conversant with caselines and court online.
