Responsibilities

We are seeking a highly organized and detail-oriented Conveyancing Secretary to join our team. Key responsibilities include:

  • Coordinating the entire transfer process, from preparation to completion
  • Preparing and sending emails, printing documents, and ensuring timely communication with all parties
  • Tailoring initial letters to each transaction, incorporating new FICA requirements, and double-checking before sending
  • Communicating changes to all relevant parties as soon as possible
  • Preparing and sending emails to seller and purchaser, including POPI and FICA forms
  • Arranging appointments with sellers and purchasers when necessary
  • Liaising with conveyancers, banks, and other stakeholders to ensure smooth transactions

Lodgement and Registration

The successful candidate will be responsible for:

  • Confirming lodgement with SIMULS
  • Notifying the conveyancer in advance when to take the file to JHB or PTA for registration
  • Updating lexis and prepping the tracker to check the status of the file
  • Arranging for payments and providing statements of account to the seller, purchaser, and estate agent

Delivery of Title Deeds

Additional responsibilities include:

  • Requesting Johannesburg Office via WhatsApp to collect title deeds at the Johannesburg Deeds Office
  • Preparing envelopes for the new owners if it's a cash purchase
  • Arranging for title deed collection
  • Printing delivery letters for bond attorneys if necessary

Lexis and Litigation

The successful candidate must:

  • Attend to all milestones in real-time
  • Add comments as needed
  • Oversight of writ, taxation, and taxation allocation
  • Working knowledge of the litigation process, including understanding time limitations and being conversant with caselines and court online
