**Job summary**:
Manage the entire department’s workflow, compliance and administration to ensure its effectiveness and efficiency.
Deliver exceptional administration support that encourages the growth of our short-term division. This includes new business closings and servicing existing clients.
Cultivate great client relationships through excellent client service.
Not only is this role a hands-on one but also a role that requires the ability to manage staff and delegate, as well as manage (review) staff’s work.
There is also a requirement to support all the other team members and business lines should there be a need to do so at any point due to absence from illness or other.

**Responsibilities**:
**General short-term insurance administration duties**:
Capturing of Amendment/ New Business Policy Schedules on Broker Engine System
Ensuring that client information remains updated on Broker Engine System
Attending to daily policy servicing and general enquiries
Assisting in requesting policy schedules
Processing of new quotations.

**Claims**:
Registration and processing of all new claims (Personal Lines and Commercial)
Knowledge and previous experience in claims administration is a prerequisite

**Renewals**:
Requesting Renewal Schedules from Insurers
Preparing client Renewal packs
Renewal schedule to be loaded on the Broker Engine System

**Compliance**:
Preparation of compliance documentation
Ensure that compliance is kept up to date
Regularly follow up with clients on outstanding Compliance

**Short-term mailbox**:
Managing the manager’s and General Short-Term Mailbox.
Ensure that all general queries, and servicing are processed within the prescribed Service Level Agreement

**Qualifications**:
Should have their REP (RE 5) and KI (RE 1) in place

**Experience**:
Five+ years experience working in the financial planning industry
Five+ years of management experience
System experience
Office 365, One drive and CRM
Blue Print, Fax, Smart Advice and other Financial Service Provider systems will be highly advantageous

Hollard Easy Portal
Momentum Insure
Insurer admin system proficiency preferred

**Personal attributes**:
Strong, professional written and verbal communication skills in English. Other South African languages are a bonus
Service orientation to anticipate, recognize and meets the needs of clients to maintain the highest service standards
Personable
Able to handle difficult conversations
Negotiation skills
Strong time management skills
Can work under pressure in a fast-paced environment driven by SLAs (Service Level Agreements) deadlines
Can multi-task and context switch between different tasks
Self-starter who shows initiative and can work unsupervised
Able to follow and create new procedures and processes
Strong attention to detail and is accurate
Highly organized and diligent with administration
