**Maintenance Coordinator **required for a large Property company based in **East London, Eastern Cape**

The Maintenance Coordinator is responsible for coordinating the scheduling and execution of maintenance work between the Facilities Management and Maintenance Teams, coordinating with procurement and vendors, and providing feedback to the customer service department. Timely and accurate task scheduling, record-keeping and reporting are critical deliverables.

**Requirements**:

- Assist with maintenance administration responsibilities:_
- Support the Maintenance Manager with the administration and coordination of the maintenance department tasks.
- Scan through information to identify pertinent information.
- Review and organize the information in a manner that will optimize swift and accurate capturing.
- Provide feedback to the relevant persons to ensure the accuracy of information received and submitted.
- Capture job cards and create job card numbers.
- Assign priority rating to job cards.
- Manage submitted job cards and communicates progress with tenants and relevant internal departments.
- Coordinate the teams to ensure that all jobs are being swiftly attended to, as per priority level.
- Monitor and track the whereabouts of the various maintenance teams.
- Contact subcontractor’s for emergency repairs when necessary.
- Enter and update information on relevant databases.
- Ensure data is backed up.
- Store hard copies of data in an organized manner, to optimize retrieval.
- Assist with maintenance department procurement responsibilities:_
- Maintain maintenance inventory levels by processing parts requests, performing routine inventory checks, and restocking parts.
- Coordination with Buyers and suppliers for replenishment of inventory.
- Gather invoices, statements, reports, personal details, documents, and information from suppliers and other departments.
- Reconcile invoices for expenses incurred by the maintenance department.
- Submit expense claims for the maintenance department Follow up on outstanding material orders.
- Arrange meetings, take minutes and manage diaries.
- General administration:_
- Perform any ad-hoc duties and responsibilities as may be required from time to time.
- Responsible for formulating reports:_
- Submit monthly reports on administrative maintenance matters.
- Identifies and manages business risk:_
- Ensures compliance with relevant Acts.
- Controls, manages, and governs the processes and systems within the area of accountability to ensure compliance and minimize the business risk.
- Participates in training and development initiatives in line with personal development plans:_
- Identifies training/development needs and pro-actively selects effective solutions to address development gaps.
- Ensures that a personal development plan is developed and implemented.
