Fleet Administrator

**Description**:
The Fleet Administrator is responsible for the efficient administration and management of all Southern Oil’s vehicle fleet from the head office in Swellendam. This role involves maintaining records, scheduling and facilitating services and/or maintenance, ensuring compliance with regulations, obtaining quotes and coordinating with various departments to support operational needs. The fleet assets include company-owned and rental of trucks, trailers, vehicles, mobile plant equipment as well as generators.
**Responsibilities**:
**Fleet Maintenance Coordination**
- Schedule regular maintenance and repairs for all fleet assets.
- Maintain accurate records of all maintenance activities, including work orders, parts used, and services performed.
- Ensure all vehicles comply to safety and legal regulations.
**Fleet Operations Support**
- Monitor and track vehicle usage and performance metrics.
- Coordinate vehicle assignments and availability with departments to business requirement.
- Assist in the acquisition and disposal of fleet vehicles.
- Ensure neatness on vehicles
**Documentation and Record-Keeping**
- Maintain comprehensive records of each asset, including registration, insurance, maintenance history, fuel expenses, toll fees and mileage.
- Update and manage the fleet management software with accurate and up-to-date information.
- Track traffic violations, inspections and log books of each asset
- Provide daily feedback on asset status and weekly and monthly reporting on fleet assets
**Regulatory Compliance**
- Ensure all fleet activities comply with relevant laws, regulations, and company policies.
- Maintain records of inspections, licenses, and certifications required for fleet operation.
**Inventory Management**
- Manage inventory of spare parts and supplies needed for fleet maintenance.
- Coordinate with suppliers for the purchase of parts and services.
**Cost Control and Budgeting**
- Assist in the preparation and monitoring of the fleet maintenance budget.
- Track and report on maintenance expenses, fuel consumption, and other fleet-related costs.
**Safety and Training**
- Ensure that all fleet operations adhere to safety standards and best practices.
- Provide training and support to drivers on vehicle operation and safety protocols.
**Customer Service**
- Act as the primary point of contact for fleet-related inquiries and issues.
- Address driver concerns and vehicle-related problems promptly.
**Health and Safety**
- Enhance safety culture in daily meeting
- Enhance compliance with safety standards and regulations in all fleet assets.
- Report all safety incidents to superior
- Comply with safety policies and procedures
- Wear PPE (where applicable) at all times
**Requirements**:
**Qualification and Experience**
- Matric
- 3 - 5 years previous relevant logistics or administration environment experience essential
- Qualification in logistics, business administration advantageous
- Fleet management experience is preferred
**Knowledge, Skills and Attributes**
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in fleet management software and Microsoft Office Suite.
- Detail-oriented with strong problem-solving skills.
- Ability to work independently and as part of a team.
