**SENIOR ADMINISTRATIVE ASSISTANT**
**1 MONTH CONTRACT**
**QUALIFICATIONS AND EXPERIENCE**
3 Years tertiary qualification. **(Non**-Negotiable)
**A **minimum of 2 years' **experience - **preferably in an educational environment will be an added advantage.
Communication skills (written and verbal) & Strong computer **skills**.
Knowledge **of principles **and practices of basic **office **management.
Ability to plan and organize projects, seminars, workshops and meetings. Ability to work independently and in a team.
**KEY PORTFOLIO AND PERFORMANCE FOCUS AREAS**
Support the planning of workshops, user training, projects and meetings of the sub-unit. Support the implementation of the operational plan of the sub**-**unit.
Support the management **of **contract staff, tracking of audits and any other Quality **Assurance **of Assessment needs.
Manage the logístical arrangements for the sub-unit activities.
Establish and maintain an effective filing system.
Manage incoming and outcoming mail.
Improve use of MIS for assigning of tasks to contract staff, capture and track of claims and liaise with the finance **unit**.
Make logístical arrangements and prepare for meetings and related activities.
Prepare travel arrangement and liaise **with the **travel agencies **for **flight **bookings**, accommodation and car hire for the sub-unit team members and contract staff according to applicable and related policies.
Draft submissions, letters **and **memoranda **for the **management's consideration and approval. Track budget for each activity of the sub-unit.
Manage database **of **QAA contract **staff **and clients.
Take minutes at meetings, type and distribute these **to **the sub-unit members and/or relevant parties. Manage the filing system of the unit.
Maintain electronic and hard copy files for the sub-unit as per file plan. Manage the flow of documents in and out for the sub-unit **office**.
Keep the sub-unit registers (mail, leave, submissions and movement) up to date. Screen telephone calls and record messages.
Perform **secretariat **duties for the **sub**-**unit**.
Perform any other duty delegated by the management.
