**Clothing Factory Procurement Administrator**
**Job Summary**:
The Procurement Administrator is responsible for coordinating the sourcing, purchasing, and inventory management of fabrics, trims, accessories, and other materials required for production. This role ensures that materials are purchased at the best prices, delivered on time, and meet the quality standards of the factory.
**Key Responsibilities**:
- **Sourcing & Supplier Management**:
- Research and identify reliable suppliers for fabrics, trims, and other materials.
- Build and maintain strong relationships with suppliers to negotiate the best prices and terms.
- Monitor supplier performance in terms of quality, price, and timely delivery.
- **Purchase Orders & Procurement**:
- Create and process purchase orders for required materials.
- Ensure all orders comply with factory production timelines and specifications.
- Track and monitor the status of purchase orders to ensure timely delivery.
- **Inventory Control**:
- Maintain accurate records of stock levels of fabrics, trims, and accessories.
- Coordinate with the production team to forecast material needs and avoid production delays due to shortages.
- Perform regular stock checks and ensure proper storage and labeling of materials.
- **Cost Management**:
- Work closely with the finance department to manage budgets and track procurement costs.
- Identify cost-saving opportunities without compromising on quality or production schedules.
- **Quality Control**:
- Ensure that all purchased materials meet the required quality standards.
- Address any quality issues with suppliers promptly and efficiently.
- **Documentation & Reporting**:
- Maintain detailed records of all procurement activities, including purchase orders, supplier contracts, and inventory reports.
- Prepare regular reports on procurement activities, cost analysis, and supplier performance.
- **Coordination with Other Departments**:
- Collaborate with the production, design, and quality control teams to align procurement activities with production needs.
- Communicate any delays or issues in material procurement to the relevant departments.
**Skills & Qualifications**:
- **Education**: Diploma or degree in Supply Chain Management, Procurement, or a related field.
- **Experience**: 1-3 years in a procurement role, preferably in the clothing or manufacturing industry.
- Strong negotiation, communication, and organizational skills.
- Knowledge of inventory management and procurement software.
- Ability to work under pressure and meet tight deadlines.
- Attention to detail and strong problem-solving skills.
- Familiarity with fabric types, garment production processes, and suppliers in the fashion industry is an advantage.
**Key Performance Indicators (KPIs)**:
- Timely delivery of materials for production.
- Cost savings through effective supplier negotiation.
- Minimal stock discrepancies and accurate inventory records.
- High-quality materials procured with mínimal rejections.
Ability to commute/relocate:
- Wynberg, Gauteng: Reliably commute or planning to relocate before starting work (preferred)
