**Position Overview**:
The Facilities Officer will oversee the day-to-day management of all facilities at the incubation campus, ensuring smooth operation and maintenance of rented office spaces, event venues, boardrooms, and the on-site café. This role includes managing health and safety protocols, supervising a team of maintenance and cleaning staff, and ensuring all campus facilities are safe, clean, and functional. The Facilities Officer will also manage supplier relationships and work strategically to minimise costs. The role requires a hands-on approach, as well as the ability to carry out basic repairs when needed.
**Key Responsibilities**
**Facilities Management**
- Oversee and ensure the smooth operation of the campus's rented office spaces, event spaces, and boardrooms.
- Manage the day-to-day functioning of the on-site café, ensuring all equipment and facilities are properly maintained.
- Conduct regular walk-through inspections of the campus to identify and address any maintenance, safety, or cleanliness issues.
**Team Management**
- Supervise a team of four maintenance staff, ensuring that repair and maintenance tasks are completed efficiently and to a high standard.
- Oversee three cleaning staff, ensuring that all areas of the campus, including offices, event spaces, and common areas, are kept clean and hygienic.
- Provide training and guidance to the team as needed, fostering a culture of responsibility and accountability.
**Health and Safety**
- Ensure that all health and safety protocols are followed across the campus, including fire safety, evacuation plans, and workplace safety procedures.
- Conduct regular safety audits and inspections to ensure compliance with safety regulations.
- Act as the point of contact for any health and safety issues and take immediate action to resolve concerns or hazards.
**Cost Management and Supplier Relationships**
- Manage relationships with suppliers and vendors, negotiating contracts to secure favorable terms and minimise costs.
- Monitor and track expenses related to maintenance, cleaning, and facility operations, identifying opportunities for cost savings without compromising quality.
- Ensure timely procurement of necessary materials and supplies for maintenance and cleaning operations.
**Hands-On Repairs**
- Conduct basic repairs and maintenance tasks when necessary, including minor electrical, plumbing, or carpentry work.
- Respond promptly to urgent maintenance issues, ensuring mínimal disruption to the campus's operations.
- Liaise with external contractors for more complex repairs or specialist maintenance tasks.
**Weekend and After-Hours Work**
- Be available to work on weekends and after hours as required to address urgent facility issues or to support large events.
- Ensure adequate staffing and support are available during off-peak hours, particularly for event setups and breakdowns.
**Key Skills and Qualifications**
- Proven experience in facilities management, preferably within a dynamic or multi-use environment.
- Strong leadership skills with experience managing maintenance and cleaning teams.
- Knowledge of health and safety regulations, with experience in implementing safety protocols.
- Ability to manage supplier relationships and negotiate cost-effective contracts.
- Ability to lift heavy objects and do other labor-intensive tasks
- Hands-on skills in basic repairs, including electrical, plumbing, and general maintenance.
- Strategic thinker with the ability to plan for long-term facility needs while maintaining a focus on day-to-day operations.
- Excellent problem-solving skills, with the ability to respond quickly and effectively to facility issues.
- Strong communication and interpersonal skills, with the ability to interact with internal stakeholders and external suppliers.
- Flexibility to work weekends, after hours, and during peak times to support campus operations.
**Job Types**: Full-time, Temp to perm
Contract length: 6 months
Pay: R15 000,00 - R20 000,00 per month
