Job Title

Procurement Coordinator

Job purpose

To coordinate the contract & supplier management process for the Companies’ procurement.

Duties and responsibilities

Policy Management and Supply Chain Management
- Ensure compliance to the procurement policy
- Provide KPI communication to the business on service provider performance

Procurement Contract Management
- Monitor contract compliance
- Ensure measure of suppliers are in place (KPIs established for each contract)
- Obtain input regarding KPIs from units
- Assist with negotiation and development of contract agreements
- Ensure adherence to procurement policies
- Research and provide advice on contract strategies
- Align negotiated contract terms and conditions
- Develop sound and legally compliant contracts
- Measure both real and potential savings and operational benefits
- Ensure audit trail for all documentation
- Ensure all documentation is received back and is signed
- Ensure all documents are updated on SharePoint

Contractor Management and Stakeholder Liaison
- Manage RFP contracts
- Ensure that notification letters to suppliers are sent timeously
- Actively participate and assist in the RFP process for related services on Fraxion
- Participate in annual increase negotiations
- Assist with invoice queries
- Respond and resolve internal and external client queries within the required timeframe
- Set up & co-ordinate quarterly supplier meetings and resolve any areas of risk
- Discuss areas of risk and strategise ways to improve with the suppliers
- Ensure progress to year over year supplier improvement goals
- Build relationships with suppliers & businesses
- Address any matters of concern

Experience & Qualifications
- Matric
- Recognised qualification in Purchasing and/or Supply Chain Management
- Recognized knowledge of contracts and contractual terms
- Property/Facilities Management background (Advantage)
- Strong computer skills (MS Excel and Word)
- 5-8 years working experience in Procurement
