**Signal Hill Products is looking for a Marketing Coordinator**

**Position/Title: Marketing Coordinator**
**Reports To: Elizanne Rauch**
**Function: Marketing**
**Area: South Africa**

**Overall Responsibility**:

- As a marketing coordinator, you will assist, support and oversee the flow of projects across the different marketing job functions.
- This extends to other internal functions, stakeholders and external support functions.
- You have a bird's eye view of the workflow of the entire marketing department and monitor potential interruptions.
- With input from brand management, you will oversee the assignment of certain projects to the team/s and department according to required timelines set, and ensure completion of projects.
- In this role, you will be responsible to develop schedules, project plans and status reports and create deadlines for each project stage as well as maintain a balanced workload across shared services and brands.
- Additionally, you will check on progress of projects, communicate with various job functions as needed and adjust schedules and timelines where required.
- You will also assist with certain administrative and production functions related to marketing activations, campaigns and day-to-day brand activities including but not limited to financial and administrative support.

**Focus Area 1- Day to day marketing project coordination**
- Responsible for daily management of marketing project timelines, review of all new job requests for planning/completion and project status
- Receive, assign tasks and check the statuses of outstanding tasks
- Conduct a daily morning meeting to go over items/tasks assigned and due for the day and determine if there are any roadblocks
- Communicate any issues with the team and marketing head
- Conduct weekly job status meetings to gather and share information with marketing team and the rest of the business where required

**Focus Area 2 - New Project Planning**
- Respond to new project asks, monitor and initiate new jobs in accordance to the marketing need and create timelines and tasks for the work to be done (future planning)
- Alongside brand management, the marketing coordinator is integrated into the end-to-end process, including planning, coordination and has a vested interest in the successful completion of all the marketing projects.
- Collect important information about a project to ensure optimum planning and resourcing

**Focus Area 3 - Production Management**
- Proactively manage flow of projects through marketing department and production environment (internal and externally)
- Trouble shoot project and production schedule challenges
- Schedule and manage outside resources as needed and alongside brand managers
- Ensure costs associated with project implementation are on budgets and signed off and processed in accordance to finance processes

**Focus Area 4 - Coordination, Reporting and Filing Maintain a record current projects and archive of completed projects**
- Monitoring performance of all active jobs against goals
- Coordinate all aspects of each project, including the archiving and filing of relevant project elements for future use or referral
- Compile marketing project status reports, provide updates to stakeholders, and track key performance metrics
- Ensure the measurement, ROI and KPI's against the brand scorecard

**Focus Area 5 - Administrative support**
- Provide administrative support to the marketing team, including scheduling meetings, managing calendars, answering phone calls, managing correspondence, and processing invoices and expense reports.
- Perform ad hoc tasks as required to support the marketing team, including conducting market research, managing event logistics, and coordinating special projects.
- Manage the office environment and support meetings, including ordering supplies, maintaining equipment, scheduling meeting rooms and ensuring that the office is organized and tidy.
- Assist with the planning and coordination of events, including scheduling, logistics, and communication with stakeholders and make travel arrangements for employees, including booking flights, hotels, and rental cars.

**Requirements of the Role**:

- Qualification: Degree or Diploma in marketing or a related field
- Years Experience: At least 2-3 years in administration, advertising or marketing project management experience.
- Highly organized and able to juggle multiple projects simultaneously, while ensuring that all deadlines are met.
- Must be deadline and goal oriented flexible
- An effective project manager, able to plan and manage project schedules, allocate resources, and coordinate with internal teams and external suppliers.
- Solid understanding of project budgets, able to monitor expenses and identify areas for cost savings.
- Highly proficient in Ms Word, PowerPoint, and Ms Excel
