Job Title

Procurement Administrator

Job purpose

To coordinate and maintain the supplier database process for the Companies’ procurement.

Duties and responsibilities

Procurement Contract Management
- Vetting and loading of all new suppliers
- Maintaining existing suppliers’ documentation on the system
- Uploading all documents electronically
- Monitor supplier compliance
- Conduct trend analysis from measures and feedback and identify strategies to improve suppliers
- Develop sound and legally compliant contracts
- Measure both real and potential savings and operational benefits
- Ensure audit trail for all documentation
- Ensure all documentation is received back and is signed
- Ensure all documents are updated on SharePoint
- Maintain the vendor list database ensuring it is always updated
- Liaise with Creditors Manager in making once off suppliers inactive
- Engage with business on the requests for new suppliers & ensure motivations are in place

Procurement Policy
- Assist with the implementation of the GRT procurement policy
- Contribute to the GRT procurement policy creation
- Provide advice to staff on policy queries
- Promote procurement best practice
- Ensure compliance to ISO9001, 14001 and 18001
- Ensure adherence to the policies and escalate to Procurement Manager when non-conformances are identified
- Manage the cost effectiveness and centralized procurement processes in line with the procurement policy

Experience & Qualifications
- Matric
- Recognised qualification in Purchasing and/or Supply Chain Management
- Recognized knowledge of contracts, contractual terms and a property/Facilities Management background is an advantage
- 3-4 years working experience

- Incumbent may be required to work after hours and or overtime during busy periods.
