Reports to: Country Human Resources Manager

1. Basic Function

The Secretary is responsible for maintaining efficient communications between the Company and third parties. Special attention must be paid to prompt telephone answering and ensuring the prompt and efficient distribution and filing of all communications.

2. Primary

**Responsibilities**:
- Prompt and courteous telephone answering- General office duties as required, especially receiving of visitors, providing general secretarial cover- Prepare outgoing couriers and distribute received goods as applicable- Maintain office stationery and consumable stocks as well as relevant registers- Assist in all departments with overflow as agreed by supervisor- Assist general manager and department managers when needed with administrative duties (e.g. minute taking in meetings, binding official documents, drafting letters, etc)

2.1 Other Administration Duties- Maintain confidentiality of correspondence as advised by supervisor- Typing duties as required- Archive, implement and maintain filing system- Maintain internal telephone list- Maintain office parking bay list- Prepare new hire packs including the request for access tags- Assist with ensuring that the shared office space is kept tidy

2.2 Specific Additional Duties- Actively participate in adherence to and improvement of the company- Management System on Quality and HSE related issues- Implementation of Company Policy- When applicable, be available for temporary substitution of other positions in the company- Arrange catering and refreshments for meetings- Co-ordinate staff social events- Ad hoc duties as required from time to time

3. Education and Experience Requirements- Min. 8 years secretarial/administrative experience- Good computer skills and knowledge of software in use- Proficient in Microsoft Office- Excellent communication skills- English language.- Good telephone etiquette- Code 8 Drivers’ License with own vehicle
