**Main purpose of the job**:

- To work closely with and provide high-level support to the Director (Research) by acting as the first point of contact in dealing with queries and managing the Director’s administration

**Location**:

- **Hillbrow - Johannesburg**

**Key performance areas**:

- Organize and maintain a diary
- Coordinate and schedule relevant appointments and meetings
- Screen telephone calls, inquiries or requests and handle them when appropriate
- Prepare agendas for meetings and take minutes
- Manage local and international travel
- Book, coordinate and confirm all travel arrangements (flights, accommodation, transport, and per diems)
- Prepare travel documents including a prescriptive travel itinerary
- Process travel expense claims
- Maintain and manage Director's CV and other key documents
- Assist in preparing documents, reports, and presentations
- Management and maintenance of database for bank mandates and Syndicate/Divisions registrations
- Prepare monthly credit card reconciliation
- Maintain relevant office systems such as electronic and manual filing systems (especially on MS Teams)
- Support all Director’s operational requirements
- Support with ad-hoc requests
- Take ownership and accountability for tasks and demonstrates effective self-management
- Must be extremely efficient
- Follow through to ensure that quality and productivity standards of own work are consistently and accurately maintained
- Maintain a positive attitude and respond openly to feedback
- Take ownership of driving your own career development by participating in ongoing training and development activities such as forums, conferences, policy-setting workshops, etc.

**Required minimum education and training**:

- **Relevant Certificate, Diploma or Degree**

**Required minimum work experience**:

- **Minimum 3 years experience**

**Desirable additional education, work experience, and personal abilities**:

- Exceptional organizational and administrative skills with working knowledge of Microsoft Office
- Able to maintain confidentiality, tact, and professionalism at all times
- Must be able to manage well under pressure
- Able to exercise discretion, high levels of initiative, and independent decision-making
- Must be assertive, confident, and adaptable
- Self-motivated, able to work as part of a multidisciplinary team
- Own reliable transport would be an advantage
