Event Administrator

**The main purpose of this position is **to ensure the coordination and administration relative to conferences, exhibitions and other events as specified, thus ensuring the successful build up/compilation and execution of events
**Reporting to the**: Events Manager
**Key responsibilities will include**:
**Administration**:
- Assist the department with general administrative tasks.
- Prepare reports from the operating system for weekly meetings.
- Drawing up of documents for repeat events as required by the event executives.
- Assist the department by following up on client queries in line with the CTICC policies and procedures.
- Calendar Management: Schedule weekly meetings for the department.
- Assist the department by answering telephone calls in line with CTICC standards.
- Signing in of contracts documentation.
- Booking of repeat events in EBMS for the Event Executives as required.
- Loading of programmes, service orders and requisitions for the Department.
- Coordination of the CTICC Highway signage.
**Reporting**
- Release dates for repeat events.
- Update statuses for repeat events.
- Monitoring client contracts.
- Monitoring payments.
**Planning of Internal Events**
- Coordinate internal events for various departments in line with CTICC procedures.
- Coordinate Client Relationship Management (CRM) and Stakeholder events at the CTICC.
- Assist the event executives with client site inspections.
**Qualifications and experience required**:
Certificate in Office Administration or other hospitality diploma (NQF Level 5).
Must have minimum 1 years’ experience in event organization; Excellent understanding of key computer programs (Excel, Word, etc.); Exposure to EBMS or any other event management software program.
