Motor Claims Salvage Administrator

Verifying that all registration documents received corresponds with schedules from Suppliers. Process all registration documents as per legal requirements to prepare vehicle for sale whilst making sure that the paper trail of each document is updated on the SMD Operating System to indicate the exact stage of the process. Filing and safekeeping of documents until sold and then distributing documents to sales points as per authorized list from Finance Department.
**Key deliverables and outputs**
- Verify that all registrations documents received balances with the schedule and are logged onto
SMD Operating System within the specified turnaround times
- Identify and check all documents to be forwarded to regional office for dealer stocking
- Prepare documentation for dealer stocking as per legal process requirements and get them ready to be submitted to the license office same day as date papers received, logged on SMD Operating System and DSO logged on the SMD Operating system on same day as handed in at license office
- Update the SMD Operating System on receipt of dealer stocked documents back from license on the same day to reflect DSI
- File all documentation daily by Supplier and stock number
- Scan all copies to SharePoint of all documents as per Standard Operating Procedures
- All original registration documents and Company stamps to be locked in a safe at close of business
- Admin hunt call line to be answered
- On specified weekly days, verify details on the SMD Operating System with physical document before dispatching to sales points within 24 hours of natis document as marked dealer stocked in while making sure that proper paper trail records is updated
- Attend to queries from suppliers, branches and clients received telephonically and electronically within 24 hours of receipt
- Identify own training requirements and communicate to line manager

Essential:
- Completed Matric / Grade 12
- Valid Driver’s License
Advantageous:
- Business Administration / Related Tertiary qualification
- Computer Certificate

Work Experience
Essential:
- 1-3 years previous work experience as an Administrator
- 5 years previous work experience in motor salvage registration documents and would be advantageous
- 5 years administrator
- At least 1-2 years’ experience working with vehicle keys and registration documents
Advantageous:
- Experience in the claims Salvage Motor handler or Automotive industry
Knowledge
Essential:
- Knowledge of vehicle codes
- Existing Standard Operating Procedures
- SMD and Barloworld related policies and procedures
