**Position Title**:Technical Administrator

**Reporting to**:Service Director

**Based at**:Head Office, Centurion

**Job purpose and overview**:
To complete the full technical administration function of the role and support the technical team in all aspects of the team requirements. The Technical administrator will follow the entire admin cycle in its entirety and ensure that the team is supported.

**Job description**

**List of Duties**:

- Answering of phones
- Logging calls daily
- Creating of job cards on Pastel (Daily)
- Customer Service (Client complaints)
- Mailing suppliers for pricing daily
- Checking price on portal for both LG + Daikin
- New Quotation (Parts)
- New Quotation (Units)
- Assisting with quotation for PJ (When requested)
- Updating of Job card spreadsheet daily
- Ordering of parts
- Ordering of Daikin parts on portal
- Ordering of project units
- Keeping detailed track of all parts ordered
- Booking in of all spares Booking out off all spares
- Arranging collection/delivery of parts to be returned (Goods returned note)
- Create part return on LG/ Daikin portal for approval
- Do return documentation for LG (Faulty part photo + model numb photo)
- Following up on credit notes with various suppliers
- Keep detailed track of parts returned with credit notes
- Arranging warranty orders on all parts or units if necessary
- Create warranty return on LG / Daikin portal for approval
- Complete warranty forms (Samsung/Dunham/Bush/Metraclark)
- Arranging claims on all windscreen repairs
- Booking of vehicle servicing’s & repairs
- Assist with vehicle claims
- Assist with handover files
- Assist with creating COC on new site projects
- Assist Daniel with typing letters/documents when requested
- Assist with tender quotations when requested
- Following up on Growthpoint outstanding invoices (Weekly)
- Following up on Bondev outstanding invoices (Weekly)
- Loading of invoices for Broll (Portal)
- Loading of invoices for Massmart (Portal)
- Creating of Growthpoint 70% Project job cards
- Dummy invoices for Growthpoint project invoices
- Following up on final 30% Growthpoint invoices
- Checking all job cards before handing over to Yolanda for invoicing (Chanay+Des)
- Signing off on new Abreal maintenance contract + arranging of delivery
- Stand in for PJ with dispatching of technicians when not at work
- Helping Chanay when necessary or requested
- Checking vehicle trip reports when requested
- Check all monthly over time on technicians
- Creating CD’s for site handovers
- Morning Technician meeting preparation
- Booking in and out of laptop
- Assist with MAS orders
- Helping project managers with documents/job cards when requested

**Competencies must include**:

- Must be fluent in both English and Afrikaans
- Must have experience in the motor industry, in the services field
- Must be able to travel reliably to Centurion
- Very strong administration skills and attention to detail

Ability to commute/relocate:

- Centurion, Gauteng: Reliably commute or planning to relocate before starting work (required)
