Short Description / Purpose of Job
Provide administrative services and support. Play a vital part in the administration and smooth-running of the business and team. Ordering of raw materials and managing stock levels as well as capturing procurement information on Pastel. Managing final product transfer to warehouse and Pastel administration of final product.

**Responsibilities**:

- Provides administrative support to ensure efficient operation of the office.
- Answering phone calls, schedule meetings and supports visitors.
- Carries out general administrative duties such as filing, typing, copying, binding, scanning etc.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Makes travel arrangements for senior staff members. For example: making bookings for flights, cars, accommodation, business lunches etc.
- Supports the team by performing tasks related to the organisation and have strong communication skills.
- Liaising with production staff to order and maintain raw material inventory levels. -Placing of purchase requisitions and following up with raw material suppliers.
- Maintains supplies inventory by checking stock to determine inventory levels, anticipating needed supplies, placing, and expediting orders for supplies.
- Managing warehouse stock transfers, space availability, inventory, and associated Pastel transactions.
- Verifying final product packaging and labelling quality and liaising with main warehouse to control inventory.
- Assisting financial colleagues with month-end functions.
- Administration of safety and audit systems.
- Managing and issuing of personal protective equipment.
- Managing the procurement of office supplies and consumables.
- Attends meetings, takes minutes and keeps notes.
- Supports the team with filing and administration duties.
Skills and experience requirements:

- Very organised and meticulous person with excellent filing and archiving skills.
- Must showcase extensive knowledge of Microsoft Word, Excel, Outlook, Power Point.
- Pastel experience will be an advantage.

Education and qualification requirements:

- Grade 12 or equivalent
