We looking for a **Bookings Clerk M/F **based **:South Africa**

**Purpose of position**:
**To assist in the daily duties in respect of administration, general office work and customer liaison.**

**Minimum Requirements**:

- **
Grade 12 qualification/ equivalent.**:

- ** Three to four years’ clerical experience, preferably in the motor industry.**:

- ** Computer literacy.**:

- ** Clean criminal record**:

- ** Good verbal and written communication skills in English.**:

- ** Technical qualification advantageous.**

**Core Job Functions**:

Collect all pre - service / repair booking information**:

- ** Answer all calls relating to service inquiries/bookings promptly and professionally**:

- ** Identify existing customer details on system**:

- ** Identify outstanding campaigns and service**:

- ** Ensure accurate understanding of customer’s needs by asking appropriate probing and diagnostic questions**:

- ** Offer the customer booking options hourly all day (i.e. Formula 1 booking, conventional booking, staggered drop off etc.)**:

- ** View dealer booking system for capacity**:

- ** Create service booking and accurately confirm all customer information**
**Arrange all service / repair bookings**:

- ** Create service booking and accurately confirm all customer information**:

- ** Organism a pre-diagnostic test drive with Foreman/Controller or Service Manager if required**:

- ** Identify and flag repeat repairs and manage the process**:

- ** Ensure customer details are updated; if necessary**:

- ** Reschedule “no show” customers**:

- ** Confirm customer’s preferred contact method regarding progress on vehicle**
**Allocate service / repair hours for sale**:

- ** Allocate correct time for vehicle service**:

- ** Communicate to customer professionally that any additional work on day of vehicle arrival might not be attended to, explain why and suggest a recommendation**:

- ** Advise customer of expected arrival time**:

- ** Allocate time to requested work using KSD CD / AIR / DMS**:

- ** Enquire about potential picking up/taking back of customer requirements**
**Customer follow - up and reminders**:

- ** Ensure all customer service reminders are sent timeously**:

- ** Use professional communication techniques, when dealing with customers who didn’t arrive at arranged time for their vehicle service**:

- ** Use professional communication techniques, to follow - up on customers’ service experience**:

- ** Use professional communication techniques, to handle any negative customer responses**:

- ** Ensure all calls are logged with customer comments**:

- ** Handing over of information to relevant Manager on regular basis**
**Control ordered parts**:

- ** Rebook customer for parts to be ordered**:

- ** Inform parts department to order parts**:

- ** Ensure continuous contact with parts department regarding the arrival of parts**:

- ** Communicate no show customer to Parts department and workshop foreman to ensure timeous return**:

- ** To welcome customers and have them attended to efficiently and promptly.**:

- ** To answer all telephone calls efficiently and promptly and to control all calls in a manner, which enhances the company’s image in the marketplace.**:

- ** To check, sort, file and record on computer invoices, job cards, and warranties and to check that all information reflected therein is correct and that all relevant documents are attached.**:

- ** Balance and re-imburse petty cash.**:

- ** Any ad hoc admin/ other responsibilities as and when required.
