Duties/Pligte
The incumbent will be required to perform a wide range of duties related to the operations of a research and clinical PET-CT centre. Duties will include, but are not limited to the following:
Reception work:
Keeping the reception area clean and organised;-
- Welcoming and greeting patients and visitors;- Recording the patients¿ personal and financial information;- Answering enquiries from patients, researchers and doctors, and confirming scan slots (in consultation with other NII staff);- Obtaining clinical booking information from referring doctors;- Opening patient files (electronic and manual), and following up on outstanding documents;- Communicating results to referring doctors and researchers.General office clerical work:
Filing and record-keeping;- Typing and proofreading;- Writing routine correspondence according to general guidelines and templates;- Operating office equipment, including photocopiers, scanners, and telephones;- Keeping records of the addresses and contact details of staff, referring physicians, and researchers;- Maintaining inventories and ordering office supplies;- Assembling materials for mailing and shipping, as well as disseminating to other staff.Assisting the practice manager in:
Engaging with medical aids;- Opening patient files;- Generating invoices and operating a point-of-sales terminal to accept credit card payments;- Placing orders on the Universitys financial system.Miscellaneous:
Preparatory work prior to opening the Centre every morning;- Liaising with outside contractors, including facilitating maintenance of the NII as required;- Maintaining systems for patient and researcher confidentiality;- Interacting with staff of the adjoining Western Cape Academic PET-CT Centre as necessary;- Reporting to the Practice Manager of the NII.
Job Requirements/Pos Vereistes- Grade 12 (National Senior Certificate);- Course(s) in office management including administrative processes and procedures, and basic computer skills (e.g., N6 certificate);- At least three years previous office administration or receptionist experience;- Fluency in English;- Excellent interpersonal and communication skills;- Professional conduct;- Customer-service oriented;-
- Time management and multi-tasking abilities;- Excellent organisational skills;- The ability to effectively operate standard office equipment;- Accurate vision and good hearing;- The ability and willingness to adapt to the evolving needs of the Unit;- The ability to render a continuous service, even after hours if need be;- A valid drivers licence.
Recommendation/Aanbeveling- Experience with Stellenbosch University's financial management processes and software may be advantageous;- Knowledge of healthcare operations may be advantageous;- Certification in medical administration;- Experience with medical computer programs;- Any skills or experience, peripheral to those outlined in this advertisement but applicable to the operations of a clinical and research PET/CT facility, may be advantageous.
