Live-in Complex Manager/caretaker

**LIVE IN FULL TIME COMPLEX MANAGER / CARETAKER**
**YOUR ROLE**:
We are urgently seeking a dedicated, motivated and diligent full-time Caretaker/Complex Manager who is hard working, loyal and possesses a steadfast commitment to achieving exceptional outcomes for the Body Corporate and residents of the Sectional Title Scheme. The Sectional Title
Scheme comprises 83 units, 22 staff rooms, and two ablution blocks.
The role is ideally suited to a versatile individual who has comprehensive knowledge of Body
Corporate Management and has a sound understanding of Sectional Title Rules.
**THE DUTIES AND RESPONSIBILITIES OF THE CARETAKER/COMPLEX MANAGER INCLUDE,**
**BUT ARE NOT LIMITED TO**:
**1. Cleanliness of common property areas**
To ensure the common property areas are maintained at the expected level of cleanliness at all times.
These will include:
- All walkways and stairs, paved areas and front entrance, guard house, staff quarters and ablution blocks, swimming pool area, gardens, lawns, driveway, light fittings in common property areas, refuse bin areas and lock up refuse areas where bins are stored.
**2. Maintenance and servicing of buildings, grounds, movable and immovable common property**
To ensure ongoing maintenance and servicing, and to retain filed records of contracts and work done including a register for all service and maintenance visits.
These will include:
- Fire extinguishers, security gates, intercom system, waterproofing, water pipes, lights
(globes, light fittings and timer/day night switches)
- Communal plumbing (down pipes and other exposed water pipes)
- Windows and windowpanes
- Outdoor doors/slats/panels covering pipes, cables etc.
- Pool equipment
- Gardens, lawns and paved areas
- Building (brickwork, paintwork and walkways/stair tiling
- To obtain at least 3 quotes for major maintenance work to be carried out.
**3. Security**
To ensure that:
- The security guards report for duty at the prescribed times
- That the guards are of an acceptable standard and carry out their duties as prescribed
- Security gates are operating as prescribed at all times
- Security is in order and switched on at all times except during maintenance
- To liaise promptly with the security firm as and when a problem arises
- To test the alarm for armed response on a regular basis
- To make recommendations regarding security when necessary
**4. Administration**
4.1 Meter readings of electricity and water consumption each month and submit to Managing
Agents and to keep copies on file.
4.2 Petty Cash: Record all expenses and submit claim sheets to the Managing Agents. Keep copies on file.
4.3 Keep records of all expenses (e.g. cleaning material, chemicals etc.) under separate headings.
4.4 Owners/Tenants database
4.4.1 Keep up to date records of owners and tenants wherever possible
4.4.2 Inform Trustees via the Chairperson in writing of all changes he is aware of
4.5 Mail: Daily distribution and redirecting when necessary
4.6 Conduct Rules:
- 4.6.1 Ensure that any new resident receives a copy of the conduct rules and signs for them immediately on arrival
4.6.2 Inform the Managing Agents when necessary to charge owners for any extra copies given to owners over and above the first free copy. This includes those given to tenants.
4.6.3 Attend to and reprimand a violation of any conduct rule by any resident by means of polite request (or direct order if such an action is deemed to be dangerous) and report any non compliance to the Managing Agents/Chair Person.
4.7 Annual income and expenditure budget: Assist with this in consultation with the trustees and Managing Agents.
4.8 Projects:
4.8.1 Prepare quotations for special projects and submit recommendations to
Trustees/Managing Agents with regard to selecting contractors and awarding contracts.
4.8.2 Supervise all projects and sign off after all specifications are met and after discussing with the Chairperson/designated Trustee/Managing Agents
4.9 Carry out all assignments given by the Chairperson/Managing Agents on behalf of the
Trustees.
4.10 Trustee and resident complaints:
4.10.1 Acknowledge receipts and attend to urgent matters promptly; Keep a record of these complaints stating name, unit number, nature of complaint, date received and date attended to
4.10.2 Inform/consult Managing Agents/Trustees if there should be any queries or problems in this connection.
4.11 Filing System: Organize and maintain an efficient filing system with clear, easy reference list as agreed with the Chairperson/Managing Agents
4.12 Submit a brief written report to Trustees/Managing Agents regarding maintenance and other relevant matters myself/Trustees/|Managing Agents may deem relevant or necessary.
4.13 To keep stock register up to date and do regular stock taking checks regarding pool chemicals, cleaning material etc.
