French Travel Consultant

Receive Travel requests in the travel inbox and check that they are in compliance with Orange mobility policy
- If all is in order, make the necessary bookings with our Travel agent booking system (or alternatively offline), by choosing the most effective options (price and time wise)
- If there is a problem / doubt on the request, escalate to the department manager, or the Mobility coordinator in charge of the file
- Make sure we respect the KPI (_Key Performance Indicator_) - 24 hours for any VIP and urgent requests and 48 hours for the rest
- If the traveler is not on the Egencia website - create a profile with the information on Irise
- Make sure the proposal matches assignee’s request. If not, give explanations and offer alternatives. Always copy ER and ORANGE appropriate contact in all proposals and mails sent to the assignees.
- Any booking change must be followed up with the travel booking company or the traveler, after approval by the customer
- Fill in the Travel spread sheet once the booking is done, to keep track of all the bookings and initiate travel reports. Make sure it is updated and accurate all the time
- Manage the strikes and world upsets - issue the list of customers affected. In case of strikes, inform the customers as per the instructions/process.
- Make sure all payments have been done if not prepaid by the Travel booking company
- Help Reporting team to check Airplus invoices on a monthly basis
- Escalate every problem to management i.e. ER Department Manager. Do synthesis on any problem encountered e.g. if there is a problem file, report to ER Department Manager with a full explanation and necessary docs and files.
- Propose to management, ER Department Manager, if there is a problem so as to reach a solution
- Back up the other travel desk members in case of absence
- Train the new staff members in case of new comers
- He/she must be able to work well under pressure and be able to relate well with people from a variety of backgrounds
- S/he must be able to respect the targets set by the Management and escalate any problem in case of difficulties.
- S/he must be involved to have a good overview of the current files and be able to anticipate potential issues.
- Professional and comprehensive communication internally and externally, in both French and English.
- Must be computer literate (good knowledge of Excel, Outlook and Word)
- Strictness, attention to details and responsiveness are essential to this position.
