Payroll Administrator and Bookkeeper: Head Office

PURPOSE OF THE ROLE: To prepare accounts to balance sheet and reconcile financial transactions and statements within a set timeframe accurately and completely. Perform other financial administrative duties.

Payroll functions:
Full Salary function from a z & full finance function.

Thorough understanding of PAYE calculations for various tax structures, UIF and COID

Tax compliance complete and submit EMP 201 returns.

Reconciliation task - complete and submit EMP 501.

Process payments for Commissioners claims.

Ufiling

Accurate processing of employee entitlements and statutory deductions (Tax, Pension, and

medical aid contributions)

Capturing of UI19 Information

Manage the payroll to ensure that employees and third parties are paid accurately and on time.

Monthly salary reconciliation.

Resolve escalated payroll queries and issues.

Knowledge of all statutory deductions and calculations.

Staff leave is monitored.

Monitoring hours worked on weekly/monthly basis.

Effective Management of Asset Register and Insurance:
Ensure all asset registers are updated.

Ensure assets are correctly depreciated.

Ensure assets are adequately safeguarded.

Insure all company assets.

Prepare monthly reports for review and approval.

Effective Management of Cash Book and Petty Cash

Ensure cash book entries have been captured and allocated to appropriate general ledger

accounts.

Ensure bank reconciliations are undertaken and signed off.

Manage petty cash.

Ensure reconciliation of petty cash

Sign off petty cash reconciliations.

Effective management of the General Ledger:
Finalise inputs and attend to month end closure routine.

Run general ledger and peruse final accounts.

Reconcile balance sheet items to previous months and examine unusual movement.

Review general ledger and make necessary proposed adjustments.

Provide detailed report analysis as requested.

Pass adjusting journal entries.

Maintenance of general ledger accounts

Ensure balance sheet and income statements are correct.

Ensure accurate reporting of Financial Accounts

Maintain an accurate trial balance/ ledger accounts.

Generate monthly financial accounts.

Effective levy collection:
Track arrears levy accounts and analyse arrears list and take appropriate action by contacting

General:
Complete the Vat Return

Perform any other functions that might be required.

Assist with year-end audit.

Diploma in accounting equivalent of NQF level 6 will be an added advantage.

3-5 Years in administrative services or related fields.

Payroll experience required and HR exposure.

Ability to manage and run an office with no supervision.

Sound knowledge of Computer packages associated with the finance profession.

Simple Pay Knowledge will be an added advantage.

Strong Excel skills.

No criminal record.
