Africa Operations Supervisor

Reporting to the Operations Manager, Africa the primary function of the Africa Operations Supervisor is to To act as the point of contact between the Operational team and the Operations Manager, ensuring the efficient and effective running of the Operations Team with a focus on exceeding customer expectations to drive business growth. The Operations Supervisor will ensure all customer interactions are always handled fully, in a professional manner and is responsible for supervising the distribution processes and overseeing the supply chain management to ensure that the shipment requests are done timely and accurately.

**Responsibilities will include**:

- Acting as the first point of contact for all shipping orders and enquiries, ensuring that customer interactions are always handled in a pro-active and professional manner and providing the customer with regular, accurate and timely updates on shipment status.
- Managing the end-to-end shipment process for shipments, ensuring correct and timely completion of all after shipment tasks and gathering comprehensive customer and shipment requirements to drive a “right first time approach”.
- Proactively monitoring the status of shipments, identifying and dealing with any issues as they arise or escalating appropriately and working with overseas offices/ agents to arrange collections, customs clearance and deliveries.
- Receiving feedback from the shipper/consignee and following up directly to resolve any issues or questions, escalating where appropriate.
- Cold Chain Management. Ensuring correct packaging is selected as per temperature requirements, all shipments are routed and created accurately to ensure product integrity and ensuring instructions and information is communicated to agents, suppliers, clients and other internal stakeholders.
- KPI Reporting. Participating in data collection, analysis and improvement initiatives related to the department.
- Developing and maintaining effective working relationships with all departments to drive efficiency and success including working closely with Transport Supervisor to ensure transport milestones are met. Supporting the accounts department with regards to agent chargers and tying up invoices to service providers. Assisting the sales team with logistics planning and requirements from operations department such as routings, shipments, agents and packaging availability.
- Leading and managing the Operations team, covering all aspects of people management activities and providing mentorship, coaching and guidance to support their development and career growth.
- Planning and setting shifts for Operations team, focusing on efficiency and forward planning.
- Chairing weekly team meetings to ensure clear communication across the team and business and driving performance improvement through objective setting, performance reviews and feedback.
- Complying with, and implementing as required, all security policies and procedures applicable to your role and location (including Shipment, IT and Information Security).

**In addition, you will demonstrate these key competencies**:

- Demonstrable previous operations experience within a specialist courier environment in pharmaceutical industry or experience working within the logistics, courier or freight forwarding within the temperature control perishable shipment industry.
- Proven People management skills, in particular motivating and encouraging others, coaching, and mentoring, adaptable communication style, managing conflict and giving feedback).
- Excellent Communication skills at all levels, both verbal and written, with a passion for providing customer service excellence.
- High levels of integrity, able to lead by example and the ability to work well under pressure.

**Please note this is a full time role, 40 hours per week, Monday to Friday 08:00am to 17:00pm and based at out Kempton Park office (Johannesburg 1619).**
