- Durban- Budgets - preparation to be done by Accounts Administrator - Final approval of budgets with Ops Director and client liaison will remain with Finance Team Leader. NOTE - Finance Director to download GL accounts for GES in Excel and send to Finance Team Leader to ensure accuracy of captured items in accordance with the Budget. Thereafter Budget Template can be used in future. NOTE - Finance Director and Hemant to assist Finance Team Leader with Report setup for GES. VAT - ensure allocation of inputs and outputs are correct for Financial Manager to prepare the VAT 201 recons. Will take over Event Income Invoicing from Finance Manager. PCO Fees - to take over from Finance Manager. Checking Cash Books for Debtors Receipts - to take over from Finance Manager. Overseeing of cheque requisition posting codes - to take over from Finance Manager. Management Function - Prepare monthly Management Accounts Monthly Financial Report Deadlines schedule Assist Ops Director with Company Conferences Annual Budget and load into Accpac. GENERAL: Finance Team Leader to be responsible Finance Team Leader / Finance Manager to prepare a list of ALL cash books - Events, Secretariat and Company Conferences. Report on average monthly transactions per Cashbook. Bank Recons to be filed monthly with a printout of the cashbook. Management Accounts to be filed and signed off every month. A monthly pack must be filed containing the following
- Trial Balance Debtors Age Analysis - agreed to COMPANY Creditors Age Analysis - agreed to COMPANY Call Account Recons - Agreed to COMPANY Bank Account Recons - Agreed to COMPANY Control accounts - Reconciled Monthly and agreed to payment due - (UIF / PAYE/ Skills/ Med Aid /Prov Fund / Salary Control etc) Clearing Accounts to be reconciled monthly and should be Zero - (Especially important for Events) A list of month end procedures for Secretariats to be compiled and a check list put in place Monitor Daily payments, invoices, checking Accounts Payable and Accounts Receivable Cash Books to be processed daily and reconciled weekly A Creditors Recon Template will be prepared by Finance Director. A list of all Standard Invoicing of recoveries to be prepared by Admin Assistant. A template for each can then be prepared by Finance Team Leader / Finance Manager for use as a guide / checklist for Admin Assistant.-
