Buyers Assistant

Position: Buyers Assistant (FMCG/Retail).
Location: Ormonde, Johannesburg South.
Type: Onsite/office based (does not allow for remote working).
**Salary**: R22,000 to R28,000 Cost to company per month (please note that salary will be dependent on years of relevant experience, tertiary education, skills, relevant industry experience, etc.).
ESSENTIAL REQUIREMENTS:
- 2 to 4 YEARS (or more) experience as a Buyers Assistant WITHIN the Retail/FMCG industry.
- Advanced MS Office - Excel, PowerPoint, Word and Outlook.
- Drivers license with own car (to travel between stores when required).
Brief Job Outline:
- To assist the Merchandise team with administration and record keeping for the Departments administration.
- Managing of diary entries, meeting setups (on an ad hoc basis) and doing necessary communication regarding meetings for diary entries.
- Booking of meetings and follow up on meeting bookings with confirmation and or necessary rescheduling when required.
- Meeting planning, ensuring all requested aspects and admin are provided for the meeting in advance.
- Setting up of weekly meetings and diarizing follow up meetings of both suppliers and team members if required.
- Meet and greeting of attendees to meetings and escorting them from reception to offices.
- Booking of meetings, planning events and arranging of the necessary trips / meeting agendas.
- Drafting minutes, agendas and meeting planners as required for the department team members.
- Communicating of queries, issues or disputes that arise within the Departments function, as well as follow up or feedback when required.
- Managing all travel arrangements for the team, i.e. Accommodation booking; Car hire and flights; Booking in or checking online of the flight arrangements in advance; Managing any changes to itineraries, etc.
- Actioning of reminder points from Buyers when required by drafting diary entries for buyers.
- Submission of the department expense claims when required.
- Ensuring approved signed off terms are securely stored for record keeping and uploaded to Portal.
- Drafting of notes, minutes or base trading terms, when and if required, based on the buyers’ notes provided for them.
- Requesting the AE department to upload supplier terms when required.
- Uploading of new suppliers on Company Portal with all supporting documents and also trading terms, for approval and finalization, if and when required.
- Drafting template Price Increase Letters. Once approved sending out of letters to suppliers and or stores.
- Follow up on the letters, if there are required updates / amendments or reviews.
- Communicate any changes or reviews to respective internal buyers when required.
- Suppliers Letters - Preparation of formal supplier communication for National Buyers.
- Merchandise Bulletin - Typing up of drafted content and preparation of the bulletin as and when required, including amendments.
- Drafting of Department reports, presentations, board pack reports or supplier reports.
- Adhoc Requirements - Assisting in areas within the Department and Head Office, for the better of the business and the greater good of the Company.
