The Head of Procurement controls all processes of the company's purchasing operations. Responsible for overseeing logistics, planning and purchasing to ensure the consistency, cost-effectiveness, efficiency and adequacy of the procurement process. They will be responsible for overseeing and facilitating the purchasing strategy, demand planning, supervising teams of subordinate staff in purchasing, operations and logistics, and ensuring all employees and processes meet the company’s standards and designations for work quality

**Specific Role Responsibilities**:
**STRATEGY AND DEVELOPMENT**

Contribute to the creation and implementation of best practice procurement vision, strategy, policies, processes and procedures to aid and improve PDC operational performance.

**KEY PERFORMANCE AREAS (KPA’S)**:
**Parts Procurement - Processing Vendor stock orders for Sea; Air and Local sources**
- Reviewing; generating and placing of Stock Orders From All Vendors
- Achieve a 92% first pick ratio plus, whilst maintaining an optimal stock mix, by keeping 90 days worth of stock on shelf and 30 days on water. (financially)
- Overseeing emergency Air Freight order placement
- Overseeing Local Vendor order placement
- Ensure accurate effective procurement practices are maintained to ensure that stock is available within the predetermined time-frame
- Analyse and adjust parameters if first pick ratio is not met, in conjunction with management.
- Manage new model orders and kits make up process
- Monitor and manage the order control file
- Develop and implement strategies for efficient procuring in support of budget processes, risk reduction, value extraction and cost saving initiatives

**Demand Planning - Overall review of demand patterns and forecasting purchases**
- Develop KPI's and targets for the procurement department that align with the overall business strategy
- Assess and analysis demand in order to determine and ensure that the correct stock levels are maintained
- Achievement of Vendor Purchase targets including all related negotiations with vendor regarding targets
- Identifying risks inherent in procurement and escalating these to the appropriate senior level within the Business.
- Maintain a 90/10 Sea freight to Air freight ratio
- Oversee and ensure weekly ordering, according to demand and within set parameters should be placed with principals, which includes orders for ABCDEF re-order categories being raised once a week, and GHI order once a month
- Manage and oversee container flow in conjunction with clearing agent, transporter and warehouse manager.
- Ensure optimal volumetric usage of containers shipped by suppliers
- Oversee perpetual counts in conjunction with the warehouse manager ensuring counts are conducted daily, weekly and monthly
- Ensure that ABCDEF items are counted at least once in between each wall to wall stock count.
- Use appropriate statistical/stochastic models and introduce new statistical techniques to improve service rates and reduce slow moving stock

**Stock/ Supply chain Management - Active management and analysis of shipments processes**
- Oversee shipments processed at the correct costs to ensure timeliness and accuracy of all shipments costed
- Ensure Lead times are analysed and stock held is adjusted for effective operational management
- Freight forwarding costs are controlled and accurately applied to shipments
- Oversee processing of credits notes to ensure stock held is accurately recorded and sold at correct pricing
- Identifies and researches potential new suppliers that comply with company standards
- Researches new products and services to meet company's goals
- Monitor and assess the stock levels within the dealer’s network to ensure that required benchmarks are adhered too and maintained in terms of stock profiles
- Ongoing forecasting and stock scenario planning

**Back Order Maintenance**
- Review and manage stock levels to ensure instances of stock-outs do not occur
- Maintain relationships with vendors and reduce delays in back order supplies
- Ensure Customer reporting on back orders is done timely and accurately and strategically resolve customer queries in relations to back order supply

**Price File Maintenance**
- Regularly analyse and review Vendor price files and ensure accurate pricing data is uploaded in the system
- Review parts profitability and ensure margins are within acceptable ranges and in line with budget expectations
- Management of price file amendments as required by the business operations
- Ensure that quarterly price file updates are done on the Autoline system as well as overall price file analysis and maintenance.

**People Management**
- Manage, coach and develop high performing purchasing and costing teams that meet agreed objectives and which deliver accurate and timely results, added value and continuous improvements
