About the **Dispatch Clerk** role

We are hiring a Dispatch Clerk for our **Linbro **Park, Gauteng** office.

The Dispatch Clerk is responsible for achieving and maintaining the highest possible service levels to all internal and external customers and ensuring the smooth running of the dispatch operations through the optimum use of all resources available.

Coordinate the movement of products from the warehouse to customers. This includes routing trucks efficiently to balance workloads and minimize shipping cost. Organizes resources so that deliveries and services are carried out in the most efficient and timely manner.

**Job Duties**:

- Ensure Loading, transporting, and delivering items to clients or businesses in a safe, timely manner.
- Invoice order as per picking instruction.
- Reviewing orders before and after delivery to ensure that orders are complete.
- Ensure all orders are dispatched by close of business as per due dates.
- Monitor and rectify staff performance and timekeeping daily.
- Ensure goods are neatly and professionally packed.
- Ensure all pods reconcile 100% and signed by the customer returned daily. (Going through all pod's reporting on any notes and defects to the appropriate salesperson and your line manager).
- Ensure picker pick items as per sales order and picking slip is signed.
- Invoice and dispatch goods as per picking slip/sales order.
- Assisting with loading and unloading items from vehicles.
- Manual deliveries to be approved by the Logistics Manager.
- Providing excellent customer service, answering questions, and handling complaints from clients/sales in a professional manner.
- Report potential theft and or fraud.
- Feedback on all orders to the responsible salesperson asap.
- Assign routes and follow time schedules as per customer's demand/request.
- Track customer/courier service and failures. All orders to be delivered/prepared as per schedule.
- Report any defects/accidents immediately.
- Arrange courier/customer collections as per request, preparing stock for courier collections and selecting the most cost-effective service type.
- Providing feedback to sales on all orders communicate on any discrepancies.
- Ensure goods are picked by a picker and checked by Rubicon representative.
- Ensure all orders over are verified before goods are dispatch.
- Ensure customers details are checked/verified and customers are accurate identified before releasing orders.
- Ensure serial numbers are 100% correct.
- Ensure all orders are packed professionally to ensure no damages during transportation.
- All parcels dispatched must be on an invoice and checked by dispatch supervisor including the person dispatching/receiving the goods including courier/customer collections. And signed for on the Invoice/Packing note.
- Communicate to all customers/sales personnel in a professional manner.
- Communicating any discrepancies or issues experienced on the delivery or collections with sales and line management.
- Ensure all orders as per delivery/courier schedule are picked and 100% accurate before close of business as per the due date on MRP system.
- Other duties as assigned by management.

**Requirements**:

- Matric/NQF4 or equivalent.
- A relevant post Matric qualification in Supply Chain, Logistics or similar is advantageous.
- Valid Driver's license and Forklift license.
- 2-3 Years Warehouse distribution experience.
- Proficient in Netsuite MRP system - Dispatch
