**Job Description**:
Our tribe is looking for an energetic, attentive and ‘’on-the-ball’’ human to join our Talent team in the role of Personal Assistant. Our highly competent Executive PA is excited to welcome an organized person to join her team in providing support to the business and iKhokha Executive team.
**So, what will you do?**
You will support the Executive Personal Assistant to plan, organize, coordinate all administrative, operational and culture related activities across the business.
**The deal breakers**:
- 3 - 4 years’ experience in a personal assistant role.
- Excellent computer literacy (proficient in MS Office, PowerPoint & Excel).
- ** Valid driver’s license and own vehicle - essential**.
- A high degree of confidentiality, emotional maturity, ethical values, and integrity.
- Ability to work well under pressure in a fast-paced, deadline-driven environment with a high degree of accuracy.
- Excellent communication and interpersonal skills, to interface effectively with all levels of colleagues and external suppliers.
- Precise planning, excellent organizational and administration skills.
- Experience in coordinating events and booking travel & accommodation (both locally and internationally).
**What would you be responsible for?**
- Support the Executive Personal Assistant in sourcing, co-ordinating and arranging all offsite related activities (includes conferences, end of year functions, midyear events, management offsite meetings, training and team builds).
- Responsible for sourcing, costing and arranging any company incentives requested by HR, which includes but not limited to swag & gifting, end of year awards, team dinners etc.
- Help prepare and plan international travel and meeting schedules by developing detailed itineraries, taking into account corporate travel policies, travel visas, costs and proper documentation.
- Responsible for administrative tasks to prepare Exec team for travel, including check-in for flights and distributing Boarding passes etc.
- Compile and prepare PowerPoint presentations, maintain, create Excel workbooks, prepare typed Word documents and the like.
- Take action points and minutes in key meetings at the request of Exec PA.
- Ensure that VC facilities are working on a weekly basis and boardrooms are neat & tidy. Liaise with the Facilities Manager to escalate any issues.
- Assist Exec team with personal admin tasks including vehicle licenses, services and insurance claims etc.
- Provide support to Executive team by running ad hoc errands, including organizing lunches daily.
- Process any claims or reimbursements for the Executive team.
