Parking Administration and Invoice Processing Tasks:

- Monthly invoicing for rental parking fees
- Invoicing of parkers for lost cards, deposits, and vehicle clamping
- Timely receipt of payments
- Issuing letters of demand to tenants for late payments
- Reconciling payments with bank statements
- Managing debit orders
- Sending monthly statements to rentals
- Creating credit memos for cancelled accounts
- Processing refunds
- Allocating parking bays as required
- Drafting lease agreements
- Updating and maintaining an accurate database of all agreements
- Ensuring bays are marked according to company/person
- Supplying access cards as required
- Opening accounts on the system for tenants

Supplier Invoice Processing and Agreements:

- Timely receipt of invoices from suppliers
- Timely processing of invoices before month-end
- Issuing purchase orders as required
- Keeping track of supplier spend per supplier for record-keeping
- Issuing supplier forms on request and ensuring correct documentation is received
- Checking the accuracy of supplier packs and forwarding to the finance department
- Liaising with the Legal Department for Non-Disclosure and Service Level Agreements needing signatures

Building Committee Responsibilities:

- Drafting quarterly agendas
- Accurately recording minutes
- Distributing minutes to committee members in a timely manner

Qualifications and Experience:

- Matric qualification as a minimum
- Intermediate Excel skills and computer literacy
- Financially oriented with comfort working with numbers

Competencies:

- Attention to detail
- Deadline-oriented with the ability to follow up and comply with deadlines
- Self-motivated
- Good communication skills with the ability to interact across departments and maintain positive work relationships
- Team-oriented
