Spares & Logistics Specialist Midrand

Supply Chain Coordination
Collaborate with cross-functional teams to ensure the smooth integration of sourced parts into the supply chain.
Assist in inventory management to prevent shortages or overstock situations.
Timely and efficient supply of parts to customers (internal & external)
Inventory Management
Maintain accurate records of stock levels, ensuring inventory matches physical stock.
Conduct regular stock checks, reconciliations, and audits.
Minimize stock discrepancies through proactive monitoring and corrective actions.
Oversee the receipt, storage, and dispatch of goods.
Ensure stock is moved, stored, and tracked efficiently and accurately.
Coordinate with logistics, purchasing, and production teams for seamless operations.
Order Management
Order administration for internal/external customers including all communication whilst interfacing with Field/Site Service and Sales.
Ensure orders are delivered to all internal/external customers within the agreed lead times whilst being responsible for part/product returns and warranty.
Administration of the regional logistics including spares for large and medium sorters as well as tools and engineering equipment needs
Ensure all orders and back-order requests on spares system is completed within specified time periods. Communicate back-orders parts to procurement specialist and follow up availability
Shipping
Manage and coordinate local and international courier and cargo shipments with good administration and record keeping associated with each shipment
Execute shipping well in advance to ensure stock is delivered within agreed period and liaise with customers to ensure stock is delivered in a way that best suits their needs.
Track issues with deliveries and provide support to customs, customer and freight agents to ensure all freight and customs clearance requirements are met.
Ensure complete documentation submitted to finance for costing of all spares and machine related orders.
Engineering/Site Support
Provide support on part identification, and part number verification.
Maintain recommended spares lists by product and machine install base by site.
Provide administrative support and solutions to the service team with regards to spares aspects
Assist in evaluating condition of engineer tool kit by completing audits on tool kits.
Ensuring that tool kits are maintained at the level that they were presented to the engineer.
Ensuring that necessary tools are available to complete engineers required functions
Data and System Updates
Update stock management systems (e.g., ERP or WMS) in real-time to reflect current inventory.
Generate and analyse inventory reports for trends, slow-moving items, or stockouts.
Stock Take
Perform monthly cycle counts on pre-determined stock items and/or locations and investigating and rectifying discrepancies
Assist in annual wall-to-wall stock count in the warehouse
Investigate stock variances and identify possible process improvements to reduce future occurrences
Assist in annual stock counts for all related stock sites ensuring stock is accurately recorded and valued.
Assist financial auditors during compliance and audit verifications.
Supplier Management
Assist in following up with local suppliers on outstanding and expediting where required.
Ensure feedback on quality related issues to Global Procurement Coordinator and suppliers.
Implement corrective action procedures for all quality related issues
Quality Assurance Assistance
Work closely with the country technical teams to facilitate quality feedback on sourced parts to ensure effective and productive service delivery.
Feedback to suppliers on any quality control issues or findings to improve product
and service delivery.
Process and Cost Optimisation
Identify inefficiencies in inventory processes and recommend improvements.
Implement best practices to enhance accuracy, speed, and cost-effectiveness in stock management.
Collaborate with global inventory and procurement teams to identify opportunities for cost savings.
Assist in market research to identify new suppliers and opportunities for cost savings.
Develop and implement strategies to mitigate risks and ensure business continuity.
Documentation and Reporting
Administrate and maintain accurate records of all, purchases, sales, stock takers and quality assessments.
Assist in generating reports on all stock and customer service performance metrics.
**Problem Solving**:
**The incumbent is required to deal with new problems by**:
i. solving new difficult spares & logistics problems and
ii. actively seeking out solutions by escalating to Head of Global Supply Chain
**Contractual Obligations**:
Always act and behave in a way compliant with all company guidelines and policies, especially those relating to Environmental Health and Safety, ethics, and codes of conduct.
Responsible to keep abreast of customer policies, procedures, and requirements.
Manage attendance and presence at training courses and escalate when appropria
