**Duties and repsonsiblities**:
**Office Administration**
Effective and efficient office administration
Managing the executives calendar, including making appointments and prioritizing the most sensitive matters.
Weekly Newsletter and monthly Bush Telegraph proof reading, editing
Ensuring effective historical information sharing with new HOD and managers.
**Board and Committee Preparation and Administration**
Effective and efficient Board and Committee meetings preparation and administration.
Writing of Board Feedback Report and Preparation of the pack
Ensuring all reports are received timeously from HODs for the compilation of HODs reports for Board and committee meetings.
Compilation and distribution of action items and minutes of meetings timeously
Facilitation and distribution of board round robin resolutions
Liaise with Company Secretary for Board meeting deliverables.
Ensure research is conducted and presentations or reports prepared as assigned for Board and committee meetings and member meetings.
Ensure concise and relevant minutes are taken during meetings and distributed to relevant stakeholders.
Ensure effective preparation of Board resolutions.
Ensure regular liaison with the Company Secretary in order for minutes to be completed and finalised.
**Member feedback and AGM and/or SGM administrative support**
Liaise with HOD's for effective and efficient Member feedback meetings.
Effective management of AGM process and deadlines
Logistics, set up and facilitation of AGM and Member feedback meetings.
Liaising with SP's for AGM and Member feedback meetings
Ensure any action items from the meeting is distributed to the HOD's timeously.
Minutes to be approved by the Board.
Ensure action items feedback from the meeting is distributed to the management team timeously for action

**Desired Experience & Qualification**
5 years work experience as an Executive Assistant, Personal Assistant, or similar role.
Preference industry knowledge to the HOA or the Estate
Previous experience as PA to an Exec or CEO (advantageous)
