INFORMATION OFFICER: DIGITISATION

RESPONSIBILITIES:
The incumbent will be responsible for:
- Operating scanning equipment to digitise physical materials as per instructions and procedures;
- Ensuring the accuracy and quality of digitised materials by following basic image editing and file processing steps;
- Performing routine checks and maintenance on digitisation equipment (e.g. scanners), reporting any issues to supervisors, providing strategic leadership and management of business intelligence measures;
- Providing basic assistance to faculty, students, and external clients on how to access digitised materials;
- Maintaining records of digitisation activities, including logs of items processed and equipment usage;
- Assisting in organising the long-term storage of digitised materials, ensuring they are backed up and properly stored;
- Perform ad hoc tasks as required, including urgent digitisation requests and assistance with various library projects;
- Acting as a backup for other digitisation team members when necessary, ensuring continuity in operations.
MINIMUM REQUIREMENTS:
- Any three-year diploma plus two years of relevant experience in an Academic Library or Archive, with exposure to digitisation processes;
OR
- Grade 12 with four years of relevant experience in an Academic Library or Archive, with exposure to digitisation processes;
- Familiarity with operating basic digitisation equipment and software (e.g., scanners and image editing tools);
- Understanding of basic metadata creation for digital collections;
- REQUIRED COMPETENCIES_ (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
- Computer literacy in the Windows environment and the Internet;
- Good communication and interpersonal skills;
- Ability to manage time effectively;
- Ability to work independently and under pressure;
- Integrity and honesty;
- Self-control and drive;
- Strong analytical skills with attention to detail and accuracy;
- Knowledge of digitisation processes and techniques;
- Knowledge of metadata standards and management;
- Knowledge of copyright law related to digitisation;
- Knowledge of archival and preservation strategies;
- Experience using digitisation equipment (e.g., scanners, cameras);
- Experience with image and text editing software (e.g., Adobe Photoshop);
- Experience with digital asset management systems;
- Experience with MS Office;
- Ability to conduct internet and online database searches.
ADDED ADVANTAGES AND PREFERENCES:
- Three-year Degree;
- Experience in Digitisation Tools and Technologies (e.g. Adobe Photoshop, Abby FineReader).
The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
