**_ Position Purpose:_**

To plan and direct the administration of the Office of the Chief Information Officer, monitor the workflow, and take corrective

action where necessary. To provide support to the Executive Manager: IT Enterprise Management to ensure properly

coordinated management of the Office, monitor and track effectiveness of the processes of running the Office with high level

of confidentiality, respect and professionalism and identify improvements required to be made to the management of the

Office based on observations for the good reputation of the organisation. To provide of support in maintenance of good

relations with stakeholders for the Office of the Chief Information Officer.

**_ Position outputs:_**
- Manage the administrative aspects of the Office of the Chief Information Officer (CIO) independently, under the guidance of

the Executive Manager (EM) and monitor execution of the functions in the Office through the provision of strategic
- coordination and reporting.
- Coordinate Stakeholder Engagements activities for the Office, including engagement with stakeholders other than ICT

vendors.
- Coordinate activities related to implementation and monitoring of strategic ICT initiatives and helping resolve issues.
- Compilation and finalisation of regular governance reports (such as those for the Board Risk Committee, Board Corporate

Governance Committee, Audit Committee, Group Executive Committee, ICT Executive Committee meetings) on behalf of the
- ICT function for the whole of Transnet.
- Coordinate and compile responses to queries for recommendation to the EM and approval by the CIO.
- To manage the regular provision of both management and performance information and trend analysis to the business

through the generation and dissemination of automated as well as ad-hoc reports so as to enable effective decision-making
- in terms of the achievement of the strategic objectives by the relevant stakeholders.
- Monitor, track and provide assistance in the administration of the Office i.e., preparation of files referred for the CIO’s

signature, peruse the files, gather information for the file to be complete, make sure that letters and memos are in the correct
- format etc.
- Follow-up with the Operating divisions and Group ICT Manco Members on action items emanating from the meetings

attended by the CIO and the EM i.e., Group Exco Meetings and its Sub-Committees and Board Meetings and its
- Sub-Committee Meetings as directed.
- Coordinate Group ICT Balanced Scorecard and OD CIO contracting sessions and performance management reviews.
- Analysing the need, developing, and executing the support systems and putting in place required systems for logistic

services for the ICT team like, security, safety, housekeeping, preventive maintenance, office stationery and parking
- management for the staff members on the Floors occupied by Group ICT.
- Plan, organise, direct, and control the work activities of the team members to provide prompt and efficient services to

internal customers, i.e., employees, Exco Members etc.
- Provide support to the EM when leading the project management initiatives of the Office of the CIO.
- Manage stakeholders in the CIO’s Office which is critical for the organisation to maintain good reputation through ensuring

effective service flows.
- Provide the Office with technical support on how to schedule for key activities.
- Ensure the provision of Secretariat support for the ICT Executive Committee meeting and other related ICT meetings as and

when required by the CIO and the EM.
- Prepare and assist the EM on key activities to be completed e.g., gathering information to respond to queries, questions,

and preparation of governance reports.
- Report regularly on the administration of the Office including the turnaround times of the files and follow-up on the progress

of the file and filing system in the office.
- Identify risks and mitigating actions and manage issues in the Office and elevate key risks to the EM as required for further

action.
