Linehaul Operations Manager

**Key tasks & responsibilities**:
Ensuring the effective control and management of the operational processes, from planning and collection through to delivery, in accordance with the client’s requirements and company policies of the dedicated fleet.

**Manage Operational Staff**:

- Motivate and create a positive atmosphere for the staff to work and develop.
- Ensure that staff always adhere to the operational guidelines.
- Ensure that workloads are distributed evenly amongst staff.
- Assist staff with issues where they might not have the necessary know-how to provide the correct level of service (operational excellence).
- Ensure transfer of knowledge and skills to staff.
- Ensure that staff always follows operational processes.
- Ensure that creditors invoices relating to the department are captured per the requirements and queries (where applicable) are addressed.
- All shipments are managed in real-time.

**Financial Control**:

- Manage and review processes to make sure that there are no loss files and processes are improved.
- Ensure files’ structures are correct.

**Review and maintain operational process**es**:

- Ensuring the internal TMS (Carlo) is updated accurately daily.
- Continuously review operational processes to make sure that they allow efficiencies and profitability throughout the division.
- Continuously manage and review TMS (Carlo) to ensure controllers are entering data timeously and accurately.
- Ensure that all transactions are processed timeously and accurately in the TMS (Carlo).
- Ensure all creditors and debtors are processed according to company standards/requirements.
- Propper understanding of container and break-bulk work in RSA - Up to date with all aspects of the port / costings / permits etc.

**Manage Key Accounts**:

- When necessary, take ownership of key internal and external accounts and operate shipment files.
- Assist clients with any queries related to operations and documentary requirements needed to successfully facilitate the transport process.

**Manage suppliers and buying conditions**:

- Together with General Manager, nominate and negotiate rates with suppliers to make sure that the buying conditions are in line with the current market conditions.
- Ensure that controllers use the correct service providers and rates charges are in line with the agreement.
- Manage the performance levels and risks of nominated service providers.
- Focus on continual improvement of service levels and operational processes.

**Rate Proposals**:

- Ensure that all rate proposals are up to date and in the correct format.
- Adjust rates with statutory rate increases and adjust with fluctuating fuel.

**Risk Management**:

- Financial - Credit vetting for all clients, ensuring all new clients follow the credit process and Standard Trading Terms and Conditions are signed before any work takes place.
- Audit Vetting for Transporters - Ensuring that all transporters follow the vetting process and that they have sufficient GIT Insurance as prescribed from time to time.
- Security - Ensure high-risk cargo transport follows the Security Protocols and relevant escorting procedures.

**Quality Control**:

- Quality Checks must be performed randomly on operations files ensuring that all the relevant documents are kept on file.
- Continuously look for improvements throughout the business.

**Status Reports**:

- Ensure that controllers keep clients up to date on the progress of their shipments by sending them regular status reports.
- Ensure daily dashboards are accurate and timely.

**Customer Services**:

- Maintain the highest levels of customer services and attend to clients’ queries.

**Qualifications**:

- Matric - Grade 12.
- BCom: Logistics Management, Supply Chain Management or relevant degree.

**Experience**:

- 5 years experience working in the freight / logistics industry.
- Minimum** **3 years experience managing a team.
- Linehaul experience is preferred.
