**Job Duties/Responsibilities will include**:
Incumbent assists drafting of simple memoranda, employment confirmation letters, and other HR correspondence for clearance on a high frequent basis including but not limited to the travel comp time memo’s for HRO’s approval and assists in sending out correspondence to employees for updates to payroll and benefit information.

**Incumbent tracks and maintains the following**: upcoming retirees tracker retirements; payroll actions processed and upcoming performance evaluations and notifies the HR Assistants of the upcoming deadlines.

Maintains and updates the arrival of new LE staff and the list for separated employees for reporting purposes (LCQ). Also sends out the separation packages to employees and ensures that employees have check-out in a timely manner.

Orders supplies, maintains inventory, and logs invoices. May arrange for servicing of any broken equipment directly with outside vendors.

Assists in scheduling of appointments on behalf of the Human Resources Officers (HRO), the HR Specialist, and/or the Senior HR Assistant. Assists the HRO, the HR Specialist, and/or the Senior HR Assistant by preparing agenda items for meetings, as needed.

Responsible for the filing of all documentation pertaining to the HR Assistants’ portfolios such as the final signed T&A reports, Performance Management documents and benefits documents into employees’ eOPFs and other HR related folders.

The incumbent assists to facilitate the HR events e.g. Wellness day, Pension fund and Tax Road shows.

Completion of secondary school is required.

Minimum one (1) year of progressively responsible experience in administrative or clerical field is required.

**Skills and abilities**:
Knowledge of Microsoft Office (Word, Excel, Power point, Outlook, and Internet).

Ability to work on Overseas Personnel System (OPS).

Good typing/keyboard skills with speed and accuracy (not less than 45WPM).

Must have excellent customer service and communication skills to manage in-person and telephone contacts. Must be organized, diligent and able to work under pressure.

Good interpersonal relationships are required.
