_**PURPOSE OF POSITION**_

To ensure that all material movements are completed to the highest standard to minimise loss, increase productivity, profitability and client satisfaction. This is done through management of processes and unique requirements as required by the customer. Control of all work areas and staff under his control to achieve the required results while adhering to best-in-class warehouse management and customer service principles

**PRINCIPLE ACCOUNTABILITIES**

**Operational**
- **Process Management**:

- Ensure all operational divisions under your control comply with processes and procedures that have been defined
- Perform spot checks of all operational departments under your control
- **Operational Compliance**:

- Deadlines need to be adhered to and the management of staff must be in line with meeting operational objectives
- Ensure all DO’s are finalised as per required PGI date
- Ensure all hand over sheets are send to admin for billing
- Ensure all hand over sheets are signed off by warehouse staff, security and the respective delivering 3PL
- Ensure there is always sufficient packaging material for all sizes used in the dispatch area
- Provide feedback to management as to progress throughout the day
- Control and maintain the required standard of all aspects of the dispatch process
- **Systems**:

- Ensure that all systems are used and maintained in the way that they were intended
- Focus on data quality and reporting thereof
- System reporting and capturing needs to be consistent and reliable
- Errors need to be corrected as soon as possible and root cause identified
- **KPI achievement**:

- KPI achievement is critical to our success and the minimum standard as a baseline needs to be maintained
- All non-compliance to KPI need to be reported on
- **Monthly Stock Takes - assist when required**:

- Complete the monthly stock take with the inventory supervisor
- Ensure that all stock information is recorded correctly
- Supply Manager with master stock take report maximum four (4) days from stock take
- Ensure that all working documents / finalized documents are stored in hard and soft copy so that they can be easily retrieved
- All variances need to be documented as soon as they are noted and communicated immediately. These need to be resolved as soon as possible
- **Order Processing**:

- Ensure orders are processed and released for picking in line with agreed priorities (Sameday, collections, exports etc)
- Ensure order processing cut-off times are maintained at all times
- Monitor performance and accuracy of Admin team
- Ensure orders are handed over to the correct LSP at all times
- **Documentation**:

- Arrange and coordinate scanning of all proof of delivery (POD) documentation
- Arrange and coordinate printing of all invoices as required
- **Reverse Logistics**:

- Ensure that plastic tots for samedays are accurately recorded and returned to distribution facility daily

**Staff**
- **Human Resource perspective**:

- Manage HR performance and development to optimize utilization of staff
- **Attendance**:

- Ensure daily attendance register is completed and distributed daily
- Manage staff time and attendance
- Manage overtime
- **Development**:

- Optimize individual employee performance through effective leadership, coaching, development and training
- Evaluate daily performance and provide continuous feedback on performance improvement initiatives
- **Casual Labour**:

- Arrange additional (casual) staff when required
- Ensure that accurate record keeping on this is maintained
- **Costs**:

- Costs need to be monitored and expenditure needs to be controlled to ensure that set budgets are adhered to
- Cost saving initiatives need to be explored wherever possible and strive for continuous improvement
- **5S and Safety**:

- Ensure 5S and visual management is employed wherever possible.
- Ensure health, safety, cleanliness and security of the work environment at all times

**KPI’s**
- **KPI Control**:

- Manage the work process to ensure that KPI’s are met and maintained this is inclusive of
- On Time GI
- Inventory Consistency
- On Time GI
- **KPI Reporting**:

- Provide feedback on all KPI failures
- Find solutions to recurring failures and communicate this internally.

**Client Focus**
- **Client Communication**:

- Keep relationship building in mind
- Be proactive when dealing with the client
- Escalate any client concerns or possible problems to WNL management.

**Document Control**
- **Record Keeping**:

- Keep accurate records of all transactions in Hard and Soft copy
- Ensure that this is kept organized and accessible to all staff
- **REQUIREMENTS**_

**Knowledge & Experience**
- Matric or equivalent of Senior Certification
- Further Studies advantageous
- At least 1 year experience in the field of Logistics/Supply Chain and its key contributors
- Experience with quality related functions
